Compensation: $47,403 - $78,215

Please note that the compensation range listed includes base salary and potential incentive pay. Incentives such as bonuses are not guaranteed and depend on individual performance and company results. Actual compensation within the range will be determined based on skills, experience, and qualifications.

Position Summary

The Sales Operations Coordinator provides administrative, operational, and reporting support to the Sales and Client Experience teams. This role is responsible for coordinating sales-related processes, maintaining accurate records, supporting contract administration, managing builder portal administrative activities, processing client incentive programs, and ensuring the timely execution of operational activities. The position plays a key role in supporting internal stakeholders while contributing to process improvements and an exceptional client experience.

Key Responsibilities

Sales Administration & Coordination

Support daily sales administration activities and operational processes.
Maintain accurate customer, contract, and sales records within Salesforce.
Coordinate and track sales requests, inquiries, and follow-up activities.
Assist with the preparation of sales presentations, proposals, and client documentation.
Support onboarding and account transition activities as required.

Contract Administration

Assist in the preparation, processing, and maintenance of customer contracts and related documentation.
Ensure contract records are complete, accurate, and properly filed.
Coordinate approvals and documentation required for contract execution.
Support compliance with internal policies and procedures.

Reporting & Data Management

Generate and maintain recurring sales, client, operational, incentive, reports and Salesforce dashboards
Monitor data accuracy and identify discrepancies for resolution.
Assist with reporting related to builder, property management, and dealer channels.
Support management with data analysis, KPI reporting, and performance tracking.

Operational Support

Coordinate internal communication and workflow between Sales, Operations, Client Experience, Finance, and other stakeholders.
Coordinate builder portal activities, requests, onboarding tasks, equipment order tracking, and administrative processes.
Monitor and maintain builder portal records, user access, account information, and onboarding status.
Track, validate, and process client incentive payments in accordance with established program requirements.
Maintain accurate records of incentive submissions, approvals, payment status, and supporting documentation.
Generate and maintain reporting related to builder onboarding, portal activity, and incentive programs.
Investigate and resolve discrepancies related to portal requests, incentive submissions, and payment processing.
Support process improvement initiatives to enhance operational efficiency and service delivery.
Assist with special projects and departmental initiatives as assigned.
Maintain departmental documentation, procedures, and records.

Qualifications

Education & Experience

Post-secondary education in Business Administration, Operations, Sales, or a related field.
1-3 years of experience in sales administration, operations, customer service, or a related role.
Experience supporting contracts, reporting, incentive administration, client onboarding, or operational processes is considered an asset.

Skills & Competencies

Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Advanced proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
Strong written and verbal communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong analytical and problem-solving skills.
Demonstrated ability to work collaboratively across departments.
Experience with CRM systems, client portals, databases, or sales management platforms is considered an asset.
