Working closely with the Head of Product & Technology, you will help manage competing priorities, coordinate meetings and follow-ups, and keep important tasks and deadlines on track.

Responsibilities

Executive Support: Manage calendars, coordinate meetings, organize schedules, and help prioritize competing commitments.
Communication & Follow-Up: Monitor and organize email correspondence, prepare draft communications, and track outstanding commitments and action items.
Meeting Coordination: Prepare meeting briefs, document follow-ups, and ensure key decisions and next steps are communicated and tracked.
Recruitment Support: Coordinate job postings, candidate communications, interview scheduling, and hiring logistics.
Administrative & Financial Coordination: Assist with vendor communications, invoice tracking, expense reconciliation, and subscription management.
Events & Document Preparation: Coordinate client events, meetings, and demonstrations, while assisting with proposals, presentations, and other business documents.
Office Coordination: Help maintain an organized office environment and coordinate supplies, maintenance, equipment, and team activities.

Qualifications

3+ years of experience in executive assistance, administrative support, office coordination, or a related role.
Excellent organizational and time-management skills, with the ability to manage multiple priorities.
Strong written and verbal communication skills.
High attention to detail and a proactive approach to problem-solving.
Ability to handle confidential information with discretion and professionalism.
Proficiency with common productivity tools, calendars, and digital collaboration platforms.
Comfortable working in a fast-paced environment and coordinating with multiple stakeholders.

Required Skills

We are looking for someone dependable, resourceful, and detail-oriented who takes initiative, anticipates needs, and enjoys helping others work more effectively.
The ideal candidate is comfortable managing logistics, keeping tasks organized, and ensuring that important details do not fall through the cracks.
If you enjoy bringing structure to a busy environment and providing reliable support to senior leadership, we would love to hear from you.
