About The Role

Working out of the office in Cambridge, Ontario, The Administrative Professional provides administrative services to Ontario staff. The position serves as a central point of coordination for administrative responsibilities and operational needs. The role ensures the timely and accurate execution of administrative and operational activities and supports the executive team when required. Responsibilities include coordinating business processes, maintaining documentation and reporting systems, supporting operational and facilities requirements and contributing to continuous improvement initiatives. The Administrative Professional exercises sound judgment, professionalism, discretion, and strong organizational skills while managing multiple priorities in a dynamic professional services environment. As a key contributor to the organization, the Administrative Professional will help ensure that administrative services are delivered with accuracy, efficiency, and a high standard of quality reflective of LGL's commitment to scientific excellence and client service.

What You’ll Do

Office Administration

Understand and apply administrative policies, processes, and procedures
Use office technology, software and applications, in particular Microsoft Office 365 collaboration sites
Reception duties such as answering phone, relay messages, greeting visitors, shipping and receiving
Maintain and purchase office, tech, and kitchen supplies
Support staff with office-related needs such as printing
Maintain network printer, including toner ordering and replacement, parts’ cleaning
Support Regional event planning
Liaise with technical support for IT needs
Manage, communicate with, track and pay office vendors (phone system, waste and cleaning services, snow removal, etc.)

Administration and Organizational Effectiveness

Contribute to the smooth operation of the organization by supporting administrative processes, business workflows, and office systems.
Maintain accurate records, documentation, and knowledge repositories to ensure information is accessible and effectively managed.
Support the development, implementation, and continuous improvement of administrative procedures and organizational practices.
Assist with the preparation of reports and other documents
Uphold high standards of confidentiality, professionalism, and discretion in all matters.

Executive Leadership Support

Support meetings, discussions, and initiatives through planning, documentation, follow-up, and coordination.
Anticipate leadership needs and proactively identify opportunities to improve efficiency, communication, and organizational effectiveness.

Qualifications

Post-secondary education in Office Administration, or a related field.
Administrative support experience within a consulting, environmental, engineering, scientific, or technical organization is considered an asset.
