Role Description
The Project Documentation Coordinator owns the administration of project documents for Envent’s Canadian projects. The role keeps document registers, approval records, transmittals, and final packages complete, current, and traceable. Reporting to the Project Manager, the Coordinator works with Drafting, Engineering, Production, Quality and Compliance, Sales, and customers to route documents and report documentation readiness. AutoCAD is the primary application used to access and prepare drawing files for controlled issue.
Essential Functions and Responsibilities
Project Document Planning and Registers
- Track documents from the request for quotation stage through approval, issue for construction, as-built records, and project close-out, as applicable to each project.
- Track approval responses and consolidate document comments for the responsible author. Keep a record of unresolved comments and follow up until the assigned owner completes the required action.
Project Documentation and Records
- Coordinate, update, and file project documents so records are accurate, complete, and accessible.
- Support document package completion, including RFQ drawings, IFC drawings, As-Built drawings, photos, checklists, factory calibration certificates, and shipping documentation.
- Maintain project documentation in required systems and locations, including SharePoint, ERP, Teams, and Monday.com.
Production and Build Support
- Support internal coordination for build activities by helping track documentation, action items, and project information required by Production and related departments.
- Assist with the flow of information needed for sample system builds, analyzer builds, service work, custom production orders, and client projects.
- Help identify project information gaps that may affect production readiness, documentation completeness, or shipping preparation.
- Maintain accurate records of assigned updates, handoffs, and project documentation changes.
- Compile customer submittals, vendor documents, inspection and test records, manuals, databooks, approved drawings, and final close-out packages against the project document requirements.
Qualifications
- Diploma or degree in Project Management, Business Administration, Engineering Technology, Drafting, or a related field preferred.
- Equivalent experience in project coordination, production coordination, drafting systems, document control, or a related technical support role will be considered.
- Experience using AutoCAD, and other drafting software systems, and working with technical drawings is required.
- Experience in a manufacturing, analyzer, instrumentation, engineering, service, or production environment is preferred.
- Proficiency with Monday.com, ERP systems, SharePoint, Microsoft Teams, Excel, and standard Microsoft Office applications.
- Strong organization, follow-through, attention to detail, and documentation skills.
- Ability to identify missing information, record gaps, project risks, and process concerns and escalate them appropriately.
- Clear written and verbal communication skills for internal coordination.
- Ability to legally work in Canada.
Working conditions
- Office-based role with regular working hours.
- Majority of work is completed using a computer, cellphone, and digital systems.
- Regular interaction with internal departments including Project Coordination, Sales, Engineering, Production, Quality, and Shipping.
- May require occasional extended hours to support urgent internal project deadlines, documentation needs, or shipping requirements.
- Work is deadline-driven and may require frequent reprioritization based on Team Lead direction.
Physical Requirements
- No specific physical requirements beyond general office or administrative activities.
- Must be able to sit for extended periods while working on a computer.
- May occasionally need to stand, walk through office or production areas, attend internal meetings, or move project files and documentation materials.
- Must be able to perform repetitive computer and data entry tasks.
Compensation
$45,000 - $55,000 to start depending on experience.
