Executive Assistant

Location: Toronto, ON – Head Office Type: Full-time, 8-month contract, 5 days per week in office

Are you an organized, proactive professional who thrives in a fast-paced environment? Enwave is looking for an Executive Assistant for an 8-month contract who can bring structure to busy schedules, stay ahead of changing priorities, and keep our leaders and teams moving forward.

Reporting to the Manager, Employee Engagement & Experience, you’ll provide high-level administrative support to designated Leadership Team members while supporting Board and leadership meetings, offsites, employee events, and internal communications.

What you’ll do

You’ll manage complex calendars, travel arrangements, itineraries, expenses, executive documents, presentations, correspondence, and meeting materials. You’ll anticipate scheduling conflicts, adapt to changing priorities, track deadlines and follow-ups, conduct focused research, and serve as a professional point of contact for internal and external stakeholder. You’ll coordinate Board, committee, executive, and leadership meetings, including scheduling, logistics, catering, materials, correspondence, and distribution lists. You’ll also work with governance partners and support executive and leadership offsites, Town Halls, corporate events, and other organizational activities. You’ll also partner with Employee Engagement & Experience on internal communications, including coordinating the Employee Newsletter, gathering approved content, working with contributors, formatting materials, managing timelines, and supporting other employee communications and engagement initiatives.

What we’re looking for

Proven executive administration experience supporting senior leaders and/or Leadership Team members.
Strong experience managing complex calendars, travel, expenses, meetings, and competing priorities.
Exceptional organizational and time-management skills with the flexibility to adapt as priorities change.
Strong written and verbal communication skills and the ability to work effectively across all levels of the organization.
Excellent attention to detail, discretion, sound judgment, and the ability to handle confidential and sensitive information.
Strong proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
Experience preparing executive-level presentations, reports, meeting materials, and correspondence.
Experience coordinating Board, governance, executive, or senior leadership meetings is an asset.
Experience supporting leadership meetings, offsites, corporate events, and employee engagement initiatives.
Experience supporting internal communications or employee newsletters is an asset.
A proactive, solutions-oriented approach with strong planning, coordination, and problem-solving skills

Compensation
