Executive & Communications Assistant

Winnipeg, MB | On-site at EQ3 Head Office | Permanent, full-time
Salary: $65,000–$75,000 per year

Great executive support makes a difference across an entire business. At EQ3, we’re looking for someone who can keep our President’s office running smoothly, turn complex updates into clear communication and help teams stay connected.

This role brings together executive support, retail communications and project coordination. You’ll work with people across our stores and head office, helping important work move forward with care, accuracy and good judgment.

What you’ll do

Support the President

Manage the President’s calendar, meetings, travel and competing priorities.
Review incoming emails, correspondence and requests; handle, redirect or escalate them as appropriate.
Draft correspondence and prepare reports, presentations, research and materials for leadership meetings.
Review documents prepared for the President’s signature to ensure they are accurate, clear and polished.
Take meeting minutes, track decisions and follow up on action items.
Prepare expense reports, process invoices and help keep the executive office organized.

Coordinate retail communications

Manage the retail communications calendar so store updates are timely and consistent.
Draft and distribute announcements, memos and store communications on behalf of the President and leadership team.
Partner with procurement, production, ecommerce, marketing and retail teams to keep stores informed about product launches, availability, promotions and operational changes.
Draft and edit content that supports retail sales and brand initiatives.
Proofread communications for clarity, accuracy, tone and brand consistency.

Keep projects and events moving

Support store openings, renovations, signage updates and other special projects.
Maintain project schedules, budget trackers, meeting notes and status updates.
Coordinate with internal teams, vendors and contractors to keep work on track.
Bring together sales and business reporting to support the President’s planning.
Help organize town halls, team gatherings and other company events, from planning through to the day itself.

What you bring

Approximately 5–7 years of experience in an administrative or executive assistant role, ideally supporting a senior leader.
Strong writing and editing skills, including experience preparing internal communications or correspondence for a broad audience.
Excellent organization and follow-through when managing several priorities and deadlines.
Sound judgment and discretion when handling confidential information.
Confidence using Outlook, Word, Excel and PowerPoint.
A post-secondary diploma in Business Administration, Communications or a related field, or a combination of education and relevant experience.

Experience in retail, project coordination, store openings or renovations would be an asset. Familiarity with email marketing platforms or project tracking tools would also be helpful.
