Job Overview:

Europro is seeking an organized, reliable, and proactive Executive Assistant to support our Executive Team, which may include up to three executives. In this role, you will play a key part in keeping our leadership team organized and running smoothly on a day-to-day basis. You will handle essential administrative duties, complex calendar management, travel coordination, and meeting preparation. If you thrive in a fast-paced environment, love staying organized, and enjoy providing top-notch support behind the scenes, we would love to hear from you. Travel across Ontario may be required.

Tasks & Responsibilities:

Coordinate, maintain, and streamline calendars for the Owners and VP, scheduling internal meetings, client appointments, and conference calls.
Book flights, accommodations, rental cars, and ground transportation; prepare expense reports and receipts for submission.
Assist in preparing meeting materials, agendas, and printouts; attend key meetings to take clear, actionable notes when requested.
Serve as a friendly, professional point of contact for internal staff and external visitors, screening incoming calls and emails as directed.
Help draft, format, and edit basic letters, memos, spreadsheets, and PowerPoint presentations.
Keep executive files, documents, and digital records organized; assist with general office tasks, mail distribution, and special team events as needed.
Ad hoc projects as required.

Skills & Experience Required:

3+ years of administrative support experience, ideally assisting senior managers, executives, or small leadership teams.
Strong knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general tech-savviness.
Exceptional attention to detail, time-management abilities, and the capacity to prioritize multiple requests smoothly.
Excellent verbal and written communication skills with a professional demeanor.
High degree of integrity and confidentiality when handling sensitive executive communications and business information.
A flexible, positive, "can-do" mindset and a willingness to help out wherever needed.
Bachelor’s degree in business administration, Communications, or a related field is preferred.
A high degree of professionalism, discretion, and a commitment to maintaining the integrity of the President’s office.
