Executive Assistant to the President

Location: Montreal, QC

Industry: Travel

Position: Full-time, Permanent

Salary: $90,000–$120,000, based on experience + group insurance, travel perks, parking, vacations, + more.

Travel: Minimal travel may be required

About the Role

We are looking for a solid, reliable and highly organized Executive Assistant to support the President of a growing travel company.

This is a true right-hand role for someone who is proactive, dependable and comfortable working closely with a senior executive. The ideal candidate is someone the President can fully trust to stay on top of details, manage priorities and keep things moving.

You’ll be involved in everything from managing the President’s calendar and coordinating meetings to organizing travel plans, bookings and follow-ups. Discretion, good judgment and reliability are extremely important in this position.

Responsibilities

Act as the President’s right hand, providing day-to-day executive and administrative support
Manage and coordinate the President’s calendar, meetings and appointments
Schedule internal and external meetings and ensure the President is well prepared
Coordinate business travel, including flights, hotels, transportation and detailed itineraries
Make and manage various bookings and reservations
Prepare meeting notes, take minutes when required and follow up on action items
Help organize and prioritize the President’s day-to-day activities
Prepare documents, correspondence, presentations and other materials as needed
Follow up with internal teams, clients, partners and external contacts on behalf of the President
Keep track of important deadlines, commitments and follow-ups
Handle confidential and sensitive information with discretion
Anticipate needs and take care of details before they become issues
Support special projects and other priorities as they come up

What We’re Looking For

3–5 years of relevant experience as an Executive Assistant, Personal Assistant or in a similar senior administrative role
Highly organized with excellent attention to detail
Strong time management and ability to manage multiple priorities
Reliable, dependable and trustworthy
Proactive and comfortable taking initiative without needing constant direction
Strong communication and interpersonal skills
Professional, polished and comfortable dealing with senior executives and external contacts
Strong follow-up skills - you don't let things fall through the cracks
Comfortable managing schedules, bookings and travel arrangements
Ability to handle confidential information with discretion
Flexible and adaptable in a fast-paced environment
Strong judgment and common sense
Excellent written and verbal communication skills
Bilingual French/English is an asset
