Job Description

Summary

The HR Specialist provides hands-on support across the employee lifecycle for Evolution Canada, with primary ownership of benefits administration, HR/payroll system updates, internal communications, onboarding and offboarding programs, employee feedback channels, related HR projects, and support for Talent Acquisition initiatives such as candidate sourcing, employee referral program administration, and recruitment activities during peak hiring periods.

Responsibilities

  • Own day-to-day benefits administration for Canada, including Perkopolis, Evolution Canada local partnerships, Extended Health and other insured benefits, RRSP enrolments and terminations, eligibility changes, employee questions, vendor follow-up, and accurate maintenance of benefit records.
  • Complete and maintain employee changes in the payroll/HR system, including new-hire setup, personal and employment changes, compensation or position updates as directed, leave and return-to-work updates, benefit changes, and termination-related updates; ensure information is complete, accurate and effective-dated correctly.
  • Lead internal HR communications for the Canada studios by drafting, coordinating and publishing clear employee communications, announcements, FAQs, policy/process updates, benefit notices, operational reminders and other people-related materials across appropriate channels.
  • In collaboration with the HR Manager, develop and maintain an annual internal communications and employee-engagement plan, including key campaigns, recurring communications, benefit education, onboarding touchpoints, recognition activities, employee events and other priority initiatives.
  • Manage Evolution Canada's employer-review presence on Indeed, Glassdoor and other relevant forums; monitor employee feedback and trends, coordinate factual and brand-aligned responses where appropriate, escalate material themes, and identify opportunities to strengthen employee experience and employer reputation.
  • Coordinate employee onboarding and offboarding activities, including communications, documentation, stakeholder follow-up, onboarding and exit surveys, and reporting on themes and completion. Support consistent delivery of Evolution's global onboarding practices, including the five onboarding milestones and associated communications.
  • Create, update and administer HR learning and communication materials, including EvoLearning modules, onboarding content, process guides, FAQs, presentations, templates and manager/employee reference materials; ensure materials remain accurate, current and aligned with global standards.
  • Support HR reporting and employee-list maintenance by tracking completion, survey results, benefit activity, onboarding/offboarding metrics, communication activity and other assigned people data; prepare recurring slides, dashboards and summaries for HR and leadership as required.
  • Provide general HR operational support across the employee lifecycle, including document preparation, record maintenance, employee inquiries, policy/process guidance, coordination with Payroll, Finance, Operations and other partners, and confidential handling of employee information.
  • Support special HR projects and process-improvement initiatives, including implementation of new tools or workflows, employee-experience initiatives, benefits renewals, HR audits, compliance activities and other projects assigned by the HR Manager.
  • Support Talent Acquisition initiatives by proactively sourcing candidates through job boards, social media platforms, employee referrals, and other recruitment channels; assist in building talent pipelines for current and future hiring needs.
  • Support recruitment activities during periods of increased hiring demand, including candidate outreach, screening coordination, employee referral program administration, recruitment event support, hiring data tracking, and other talent acquisition projects as assigned.
  • Maintain strong service standards and effective working relationships with employees, managers, vendors and global stakeholders; identify recurring issues, recommend practical process improvements, and perform other duties related to the position as assigned by the HR Manager.
  • Other tasks as given by the HR Manager.

Qualifications

  • Post-secondary education in Human Resources, Business Administration or a related field, or an equivalent combination of education and relevant work experience.
  • Approximately 2-4 years of progressive experience in HR operations, people operations, HR administration or a similar employee-facing HR role; experience supporting a high-volume or multi-site workforce is an asset.
  • Hands-on experience administering employee benefits and retirement/savings programs, including enrolments, changes, terminations, employee inquiries and coordination with benefit providers.
  • Experience maintaining employee data in an HRIS and/or payroll system with strong attention to effective dates, data accuracy, confidentiality and downstream payroll/benefit impacts.
  • Strong written communication skills with the ability to translate policies, processes and complex information into clear, concise and employee-friendly communications for different audiences.
  • Experience supporting internal communications, employee engagement, employer branding, onboarding/offboarding programs, surveys, learning content or related employee-experience initiatives is strongly preferred.
  • Strong organizational and project-management skills, with the ability to independently manage recurring processes, multiple deadlines and changing priorities while maintaining a high level of accuracy.
  • Strong judgment and discretion when handling confidential employee information, with a service-oriented and collaborative approach to working with employees, managers and cross-functional partners.
