Original job description

Reporting to the CEO, the Finance Manager is a hands-on leadership position responsible for the day-to-day financial management, accounting oversight and financial reporting of Archifibe and its group of affiliated companies.

Archifibe operates a dynamic, multi-location business with manufacturing, sales and affiliated operations across Canada, the United States and international markets. The Finance Manager must therefore be comfortable working in a fast-moving entrepreneurial environment involving multiple companies, locations, currencies, intercompany relationships and different business cultures and personalities.

This is a highly engaged operational finance role. The successful candidate must be capable of keeping pace with the day-to-day flow of the business while maintaining strong financial discipline, timely reporting and appropriate follow-up across the organization.

A particularly important responsibility is the active management of Accounts Receivable and Accounts

Payable. The Finance Manager is expected to maintain continuous visibility over A/R and A/P for Archifibe and across the group's individual locations, identify overdue or problematic accounts, drive collection activity and escalate material issues to the CEO before they become significant.

The Finance Manager is also responsible for the accumulation and consolidation of financial information necessary to accurately report the performance and financial position of the group and its individual operating locations.

Strong working knowledge of Microsoft Dynamics 365 Business Central is required. Experience improving ERP processes, reporting and financial controls within Business Central is highly desirable.

The role may also include standardizing and consolidating accounting systems, processes and controls across the domestic and international group of companies.

Primary Responsibilities

  1. Accounts Receivable and Cash Management
  • Take direct ownership of A/R management for Archifibe and maintain oversight of A/R across each operating company and location.
  • Maintain accurate and current A/R aging reports, with clear visibility into overdue and higher-risk accounts.
  • Proactively follow up on collections and coordinate with operating managers and sales personnel where required.
  • Understand the status, reason and expected collection date of material outstanding receivables rather than simply reporting aging balances.
  • Establish appropriate collection priorities and escalate significant credit or collection issues to the CEO.
  • Monitor customer credit exposure and recommend credit holds or other appropriate actions where necessary.
  • Prepare regular cash collection and cash-flow forecasts.
  1. Accounts Payable and Cash Requirements
  • Oversee A/P for Archifibe and monitor A/P obligations location by location across the group.
  • Maintain visibility into upcoming cash requirements, critical suppliers, overdue obligations and payment priorities.
  • Coordinate payment planning with operational requirements and available cash.
  • Monitor supplier terms and identify opportunities to improve payment terms and working capital.
  1. Financial Statements and Consolidated Reporting
  • Prepare and/or oversee financial statements for Archifibe, its divisions and subsidiary or affiliated companies.
  • Produce both consolidated reporting and meaningful financial reporting by company and by location.
  • Review and analyze financial data and prepare required journal entries, including payroll, material transfers, labour transfers, intercompany transactions and other adjustments.
  • Ensure intercompany accounts are accurately recorded and regularly reconciled.
  1. Day-to-Day Accounting Operations
  • Oversee full-cycle accounting processes, including A/R, A/P, cost accounting, banking and reconciliations.
  • Manage and support accounting personnel and establish clear accountability and deadlines.
  • Ensure financial information remains current throughout the month rather than relying primarily on month-end correction and reconciliation.
  1. Controls and Variance Analysis
  • Investigate reporting variances and unusual transactions.
  • Establish and maintain appropriate internal financial controls.
  • Ensure quality control over financial transactions and reporting throughout the group.
  1. Budgeting, Forecasting and Working Capital
  • Prepare annual budgets and ongoing forecasts at both consolidated and location levels.
  • Monitor cash flow and working-capital requirements.
  • Analyze inventory levels, raw-material commitments, receivables, payables and other significant uses of working capital.
  1. Management Reporting
  • Provide the CEO with regular reporting on revenue, gross margin, net margin, overhead, cash flow, A/R, A/P and working capital.
  • Identify emerging financial issues and exceptions and bring them forward proactively rather than waiting for management to identify them.
  • Provide location-by-location analysis to help management understand operating performance and financial risks throughout the group.
  1. Business Central and Financial Systems
  • Maintain strong working knowledge of Microsoft Dynamics 365 Business Central and ensure it is being effectively utilized throughout the finance function.
  • Improve financial reporting, controls and workflows within Business Central.
  • Assist in standardizing financial processes and systems across group companies and locations.
  1. Payroll, Tax and Compliance
  • Oversee applicable payroll reconciliations, T4s, WSIB, EHT and other statutory reporting and remittances.
  • Coordinate with local accounting professionals regarding tax, payroll and regulatory requirements in other jurisdictions.
  1. External Accountants, Banks and Advisors
  • Liaise with external accountants, auditors, tax advisors, banks and other professional advisors.
  • Coordinate information required for year-end financial statements, audits/reviews, tax filings, SR&ED claims, financing and other external reporting.
  • Ensure financial information requested by lenders and other stakeholders is accurate, current and readily available.
  1. Other Responsibilities
  • Support the CEO on financial analysis, financing, acquisitions, investments and other strategic initiatives.
  • Perform other related financial and management duties as required.

Candidate Profile

The successful candidate will be a hands-on finance professional who is comfortable operating close to the business, rather than someone whose experience is limited primarily to financial reporting.

They should have:

  • Strong full-cycle accounting and financial management experience.
  • Demonstrated experience managing A/R, collections, A/P and working capital.
  • Experience with multi-company and preferably multi-location or international organizations.
  • Strong working knowledge of Microsoft Dynamics 365 Business Central.
  • Strong Excel and financial-analysis capabilities.
  • The organizational ability to manage numerous concurrent issues, deadlines and operating locations.
  • Strong interpersonal skills and the ability to work effectively with different personalities, management styles and business cultures.
  • The confidence to pursue outstanding information, payments and commitments and to hold others accountable for financial deliverables.
  • The ability to identify issues independently and escalate them before they become significant problems.
  • Strong communication skills and sound commercial judgment.
  • Negotiating skills are an asset, particularly in dealing with customers, suppliers, banks and other commercial relationships.
  • Experience with manufacturing, inventory and cost accounting is strongly preferred.

Nature of the Role

This position requires consistent day-to-day involvement in the business. Archifibe operates across multiple companies and locations, and financial priorities can change quickly as customer payments, supplier requirements, production needs and international transactions evolve.

The Finance Manager therefore needs to be proactive, responsive and comfortable working within the natural ebb and flow of an entrepreneurial, international manufacturing group, while providing the financial discipline and follow-through necessary to keep the organization financially well controlled.

Compensation

Archifibe offers a competitive compensation package commensurate with the experience and capabilities of the successful candidate.

  • Salary + Performance Bonus: Annual bonus based on individual and company performance
  • Comprehensive company benefits
  • Minimum three weeks' annual vacation

Compensation within the range will reflect the candidate's experience with multi-company and multi-location financial management, manufacturing and cost accounting, Microsoft Dynamics 365 Business Central, working-capital management, and international/intercompany accounting.

The performance component will include clearly defined objectives related to timely financial reporting, A/R and collections management, A/P and cash-flow management, working-capital performance, and overall financial controls across the group.
