Original job description

You stay one step ahead, connect the dots, and keep things moving.

Falkbuilt is digitizing interior construction. Digital Component Construction takes methods the industry already knows and makes them faster, cleaner and smarter, turning building interiors from a disposable expense into a lasting digital asset.

We’re here to change an industry. And we’re having a pretty good time doing it.

As Falkbuilt enters its next stage of growth, we’re looking for an exceptional Executive Assistant to join our Concierge team and play a key role within the Executive Office. Supporting our CEO and President at the heart of a fast-paced, rapidly growing North American headquarters, you’ll help ensure the leaders shaping the future of construction can stay focused on the work that matters most.

At the centre of this role is a trusted partnership with the Chief of Staff and the broader Executive Office. You’ll bring discretion, sound judgment, and exceptional organization to a dynamic environment where no two days are the same.

Why this role is different

You keep complex calendars moving seamlessly, make travel feel effortless, welcome the people who walk through our doors, and help the Executive Office run with the same precision we expect from all Falkers.

Hospitality matters. As part of Falkbuilt’s Concierge team, you help create the experience for everyone from employees and clients to investors and board members, with a commitment to the highest standards of service, professionalism and care.

Discretion is non-negotiable. Priorities change, new challenges show up and new tools and technology, like AI, change how we work. Being tech savvy matters. Anticipating what’s needed before anyone asks is the standard. If you thrive on variety, change and figuring things out, you’ll fit right in. Plus, keeping up with our CEO will help you train for our yearly step-count walking challenge.

The person we’re looking for

You’re organized, resourceful, discreet and almost impossible to rattle. You read the room, anticipate what’s needed, and know when to ask and when to just handle it.

You make complex days feel effortless, from calendars and travel to clients, board members and everything in between. When something goes wrong, you solve it, learn from it and move on.

You’re curious about the business, comfortable with change and new tools, including AI, and always looking for ways to make things work better. A secret love for sales wouldn’t hurt.

What you’ll own

Protect confidentiality - business and personal - without exception.
Run complex calendars for the CEO and President. Priorities shift; you keep the day coherent.
Partner with the Chief of Staff on executive priorities, workflow and follow-through.
Coordinate meetings, deadlines, events, preparation and follow-up.
Welcome clients, partners, investors, board members and visitors with genuine hospitality.
Handle meeting logistics - rooms, technology, catering, materials and the details people only notice when they're missing.
Arrange domestic and international travel for executives, employees and clients.
Drive a company vehicle when needed for airport pickups, hotel drop-offs, client transportation, etc.
Prepare expense reports, corporate credit card reconciliations, executive files, records and confidential documentation.
Support special projects, internal and external company initiatives, client meetings, tradeshows, Branch Summits and other events alongside the fun and dynamic Concierge team.

What success looks like

You earn trust through absolute discretion, sound judgment and professionalism.
Calendars, travel, meetings, events and competing priorities run smoothly even under pressure.
You anticipate problems, know when to make the call and when to ask and quietly get things done.
You appreciate the details, communicate clearly and represent the Executive Office with confidence.
You learn quickly, own mistakes and get better when something doesn’t go as planned.
You use technology, including Microsoft 365, collaboration platforms, and AI, to work smarter and help the team succeed.
High standard, service-first, no silos. We get more done when we work together.

What you bring

5+ years supporting senior executives or C-suite leaders as an Executive Assistant or Executive Administrator.
Exceptional organization, judgment, discretion and written and verbal English communication skills.
Proven experience managing complex calendars, travel, executive communications and confidential information.
Strong proficiency with Microsoft 365 and SharePoint, with comfort using collaboration platforms, modern technology and AI tools.
The ability to work independently, collaborate effectively as part of a team, and adapt quickly when priorities change.
A valid driver’s license, clean driving record and comfort driving guests in a company vehicle.
A service-first mindset, you like people, order, and making hard days look easy.

This is an in-office position at Falkbuilt HQ in Calgary. Occasional travel and after-hours support will be required.

How we work

We are collaborative, hardworking, fast-moving and a little unconventional, well-behaved dogs included.

We work hard, laugh harder, pivot fast and stay curious about what’s next. Every Falker learns how Digital Component Construction actually gets built because understanding the business is everyone’s business. We’re serious about change, less serious about ourselves.

We like people with good instincts, big curiosity and high standards.

We are Falkers.

Let’s talk Falk.

Falkbuilt thanks all applicants for their interest. Only those selected for an interview will be contacted.
