Falkbuilt is digitizing interior construction. Digital Component Construction takes methods the industry already knows and makes them faster, cleaner and smarter, turning building interiors from a disposable expense into a lasting digital asset.

As Falkbuilt enters its next stage of growth, we’re looking for an exceptional Executive Assistant to join our Concierge team and play a key role within the Executive Office. Supporting our CEO and President at the heart of a fast-paced, rapidly growing North American headquarters, you’ll help ensure the leaders shaping the future of construction can stay focused on the work that matters most.

At the centre of this role is a trusted partnership with the Chief of Staff and the broader Executive Office. You’ll bring discretion, sound judgment, and exceptional organization to a dynamic environment where no two days are the same.

The person we’re looking for

You’re organized, resourceful, discreet and almost impossible to rattle. You read the room, anticipate what’s needed, and know when to ask and when to just handle it.

You make complex days feel effortless, from calendars and travel to clients, board members and everything in between. When something goes wrong, you solve it, learn from it and move on.

You’re curious about the business, comfortable with change and new tools, including AI, and always looking for ways to make things work better. A secret love for sales wouldn’t hurt.

What you’ll own

Protect confidentiality - business and personal - without exception.
Run complex calendars for the CEO and President. Priorities shift; you keep the day coherent.
Partner with the Chief of Staff on executive priorities, workflow and follow-through.
Coordinate meetings, deadlines, events, preparation and follow-up.
Welcome clients, partners, investors, board members and visitors with genuine hospitality.
Handle meeting logistics - rooms, technology, catering, materials and the details people only notice when they're missing.
Arrange domestic and international travel for executives, employees and clients.
Drive a company vehicle when needed for airport pickups, hotel drop-offs, client transportation, etc.
Prepare expense reports, corporate credit card reconciliations, executive files, records and confidential documentation.
Support special projects, internal and external company initiatives, client meetings, tradeshows, Branch Summits and other events alongside the fun and dynamic Concierge team.

What you bring

5+ years supporting senior executives or C-suite leaders as an Executive Assistant or Executive Administrator.
Exceptional organization, judgment, discretion and written and verbal English communication skills.
Proven experience managing complex calendars, travel, executive communications and confidential information.
Strong proficiency with Microsoft 365 and SharePoint, with comfort using collaboration platforms, modern technology and AI tools.
The ability to work independently, collaborate effectively as part of a team, and adapt quickly when priorities change.
A valid driver’s license, clean driving record and comfort driving guests in a company vehicle.
A service-first mindset, you like people, order, and making hard days look easy.

This is an in-office position at Falkbuilt HQ in Calgary. Occasional travel and after-hours support will be required.
