Job Description:
This position is subject to the terms of Appendix D in the Full-Time Support Staff Collective Agreement.
Note: 1 vacancy available. This position is deemed a critical vacancy.
Work Mode: This position is hybrid, three days on-site per week.
Payband: This position is paid at Payband H. $38.09 - $44.04 per hour.
Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.
Why this Role is Important
Reporting to the Manager, Student Awards, the Student Awards Team Lead is responsible for guiding and overseeing the work of the Student Awards staff. The incumbent is responsible for leading the process for application, selection, marketing and planning of all bursary and awards. This includes all donor funded, college funded, and Ministry funded opportunities. The incumbent interprets and implements the requirements of policies, guidelines and gift agreements. The incumbent liaises with the Ministry and Advancement Services staff members and provides advice on bursary & award agreements.
How You’ll Make an Impact
Coordinates the process for application, selection, marketing and planning of bursary and awards by:
- Coordinates the setup of the bursary application system.
- Plans and coordinates the work required for review and selection of all bursary opportunities.
- Coordinates the review and update of budget standards that are used to assess financial need.
- Plans the budget for Tuition Set-Aside funds and allocates appropriate amounts to each program.
- Coordinates the workflow of bursary application reviews to ensure the most effective distribution of funds. This requires coordination with Advancement services to ensure donor funds are utilized before utilizing general bursary funds.
- Plans and coordinates the work required for college and donor-funded award selection, including the Scholarship Selection Committee for collegewide awards, academic areas for program specific awards.
- Coordinates the work required to ensure athletics awards are selected and comply with OCAA requirements.
- Develops schedules and communicates deadlines for application and selection of bursaries and awards.
- Coordinates the development of communication strategies to ensure all stakeholders are aware of Student Bursary and Awards key activities and timelines, to assist them with dissemination of published information to applicants, students and their influencers.
- Plans and coordinates the work required for marketing student award opportunities. Consults and coordinates with Corporate Communications staff.
- Plans and coordinates outreach activities to effectively promote student award and bursary opportunities.
- Provides input and advice for new donor-funded opportunities and gift agreements. Coordinates the work to implement new opportunities including system updates and communications.
- Acts as a key resource and subject matter expert to the Office of the Registrar staff and other college staff with regards to student bursary and award programs.
- May assist with other assignments within the Financial Aid & Awards Team or other Registrar areas during peak periods or coverage of absences.
- May participate in student recruitment and engagement activities such as Open House, Convocation and Orientation events.
- May assist with serving students in the Office of the Registrar or Student Service Hub locations as needed.
Guides and oversees the work of the Student Awards team by:
- Develops and updates process documentation and guidelines.
- Onboards new team members and provides updated training to existing team members when new or revised processes are implemented.
- Allocates work assignment portfolios to each team member. Plans the work based on peak timeframes to balance the workload between team members.
- Sets priorities for the team with regards to the order of work and timelines.
- Assists team members with questions, concerns and daily troubleshooting of issues.
- Provides guidance and assistance with escalated concerns from students or other staff members. Takes the lead in handling escalations that are transferred from team members.
- Identifies and addresses errors. Implements improvements to processes to prevent future occurrences.
- Discusses and resolves concerns with Program Coordinator or Reviewers when students who are nominated for an award do not meet criteria such as academic program, GPA, rules from OCAA, etc.
- Assists with system related issues and coordinates support from technical support services or other parties when needed.
- Communicates new or changed bursary and award opportunities to Office of the Registrar and college staff members.
- Communicates to Office of the Registrar staff when student award or bursary actions are taken that might create increased volume of student inquiries.
Ensures compliance with budgets and agreements, coordinates with stakeholders, and provides expert advice on bursary and award opportunities by:
- Monitors Tuition Set-Aside funding budget and adjusts plans or bursary award amounts accordingly.
- Monitors progress of bursary application reviews and approvals to ensure compliance with budgets and gift agreements.
- Liaises with Advancement Services staff regarding progress of bursary and award selection and raises any concerns regarding the ability to meet requirements.
- Evaluates the necessity and effectiveness of award/bursary marketing campaigns.
- Monitors progress of award selection and ensures deadlines are met. Communicates with staff assigned to select award recipients and the members of the Scholarship Selection Committee.
- Provides advice on new or revised bursary or award opportunities, including input into gift agreement criteria.
- Maintains expert system knowledge. Works with Information System Services to implement improvements or fix current system issues.
- Liaises with Ministry staff regarding questions, concerns or obtaining information for new or changes to Ministry funded bursary programs.
- Participates in provincial associations to maintain up to date knowledge and best practices across the sector.
- Coordinates with Financial Services, Advancement Services and Ministry staff members for budget updates and financial reporting.
- Escalates concerns and seeks advice from the Associate Registrar.
Performs other related duties as assigned
What You’ll Bring
- Post-secondary 3-year diploma/degree in Business Administration, Finance, Accounting or related discipline
- Minimum 5 years’ experience within a high volume, multi-tasking office environment with direct customer service
- An equivalent combination of education and experience may be considered
- Experience working with and interpreting policies and procedures
- Experience and knowledge with financial need assessments and adjudicating awards, preferably in a post-secondary institution
- Systems experience with financial databases and Ministry systems or similar enterprise-wide and government systems
- Demonstrated experience coordinating the tasks and priorities of a work team, public speaking, presentation development, conflict resolution skills, and the ability to interact with diverse groups and high-risk clients.
