JOB OPPORTUNITY: Office Administrator

Reports to: Director of New Business and Resource Development

Compensation: $45,000 – $60,000/yr commensurate with education and experience

POSITION PURPOSE

The Far North Natural Resources (FNNR) Partnership - a joint economic and stewardship alliance with Cat Lake First Nation bridges community-led economic development with responsible land stewardship. This role is responsible for providing comprehensive administrative and operational support to ensure the efficient day-to-day functioning of the organization. This role serves as a central point of coordination for the office operations, supporting staff, leadership, and community initiatives through effective organization, communication, record keeping, meeting administration, travel coordination, and office supply management.

POSITION OVERVIEW

The Office Administrator plays a key role in maintaining an organized, productive, and professional work environment. Reporting to the Director of New Business and Resource Development, the incumbent provides administrative support to organizational operations, coordinates meetings and travel arrangements, manages office resources and records, and supports communication between staff, leadership, community partners and external stakeholders.

As a key point of contact for the organization, the Office Administrator will greet and assist visitors and clients, respond to general inquiries, manage incoming and outgoing mail and deliveries, direct individuals and communications to appropriate staff members. The incumbent will support daily office functions and help ensure administrative processes, shared spaces, supplies and resources are well-coordinated and maintained.

CORE RESPONSIBILITIES

Office Administration & Coordination

Manage the day-to-day administrative operations of the office to ensure efficiency and productivity.
Maintain electronic and physical filing systems in accordance with organizational policies.
Ensure administrative records, correspondence and documentation are accurate, current and accessible.
Maintain efficient filing systems, records and confidential documents.
Serve as the primary point of contact for general office inquiries and correspondence.
Coordinate office communications and provide administrative support to management and staff.
Align industrial development activities with the Cat Lake-Slate Falls Community Based Land Use Plan and Whitefeather Forest’s stewardship frameworks.

Office Supplies and Vendor Management

Manage office supply inventory and procurement processes to ensure uninterrupted office operations.
Maintain relationships with suppliers and service providers to ensure timely delivery of goods and services.
Ensure office equipment and common areas are well maintained and fully functional.

Meeting & Documentation Support

Coordinate organizational meetings and administrative activities to support effective decision-making and communication.
Prepare meeting agendas and supporting materials as requested.
Attend meetings as required, record accurate minutes, and distribute meeting notes in a timely manner.

Travel & Administrative Support Services

Coordinate and book business travel, including flights, accommodations, transportation and itineraries.
Ensure travel arrangements comply with organizational policies and budgets.
Assist with expense reporting and travel related documentation.
Provide additional administrative support for projects, events, and organizational initiatives as required.

REQUIREMENTS AND QUALIFICATIONS

Education: Diploma or certificate in Business Administration, Office Administration or a related field.
Experience: 2-3 years of experience in office administration, administration assistant or office coordinator role.
Experience: Coordinating meetings, preparing meeting minutes, and managing calendars.
Experience: Arranging and coordinating business travel.
Experience: Managing office supplies, vendor relationships, and general office administration.
Technical knowledge, including proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint and Teams.
Cultural Competency: Extensive experience collaborating with Anishinaabe communities.
Logistical Readiness: Possession of a valid driver's license and capability to travel via small aircraft and winter road to remote onsite locations.
