ROLE DESCRIPTION

The BD Coordinator is the operational engine of Farmboy's business development function. This role owns the systems, processes, and execution that enable the BD team to focus on relationship development and account ownership. The BD Coordinator is accountable for inbound lead qualification, CRM integrity, pipeline reporting, outreach execution, proposal coordination, and meeting logistics - ensuring that no opportunity is missed, no follow-up falls through, and the BD team has the information and infrastructure needed to move deals forward. This is a proactive, process-driven role for someone who takes pride in building and maintaining systems that create commercial momentum.

CORE FUNCTION

Owns inbound lead qualification and intake, ensuring all inquiries are assessed, logged, and routed accurately and promptly, with no opportunity lost or delayed in the pipeline.

Maintains CRM integrity across the full pipeline, keeping contact records, deal stages, activity logs, and follow-up deadlines current and accurate at all times.
Produces weekly pipeline reports for the BD Lead and Creative Director, surfacing what has moved, what has stalled, and what requires action.
Executes outreach campaigns to target accounts as directed by the BD Lead, drafting communications, tracking responses, and maintaining outreach records in CRM.
Coordinates all BD meeting logistics, including lunch and learns, discovery calls, and client-facing events - venue, invitations, materials, calendar management, and post-meeting follow-up.
Assembles and maintains proposal documents, capability summaries, and case study materials, coordinating with the delivery team to ensure inputs are current and accurate.
Researches target accounts and prospective clients ahead of first contact or client meetings, providing the BD Lead with relevant context on active projects, key contacts, and market positioning.
Supports the continuous improvement of BD systems, tools, and workflows, identifying gaps and proposing process enhancements that improve speed, accuracy, and commercial visibility.

DETAILS OF FUNCTION

Monitor all inbound inquiry channels including the sales inbox, and referral introductions.
Qualify each inquiry against a defined framework: project type, scale, timeline, budget range, and decision-maker access.
Follow up on unresponsive inbound leads per a defined cadence before closing out in CRM.
Own Salesforce hygiene across the full BD pipeline: deal stage accuracy, contact records, activity logging, and task management. Salesforce Experience is important.
Ensure every active opportunity has a clear next step, owner, and follow-up date recorded in CRM at all times.
Produce a weekly pipeline report for the BD Lead and Creative Director covering pipeline value, stage movement, stalled deals, and recommended actions.
Track outreach and follow-up deadlines; proactively flag overdue touchpoints to the BD Lead before they become missed opportunities.
Execute outreach cadences to tier 2 and tier 3 target accounts as directed by the BD Lead, using approved messaging frameworks and templates.
Research target accounts before first contact: identify key contacts, active projects, recent news, and relevant Farmboy project references to enable personalized and informed outreach.
Coordinate all logistics for BD meetings, lunch and learns, tradeshow appointments, and client-facing events booked by the BD Lead.
Manage the BD calendar, including tradeshow registrations, appointment scheduling, and pre-event preparation checklists.
Assemble proposal documents from approved templates, coordinating with the delivery team for project references, photography, and fee inputs.
Track all active proposals by status, submission deadline, and follow-up date; flag upcoming deadlines and stalled proposals to the BD Lead.
Coordinate with the Creative Director and BD Lead on any proposal requiring custom content or senior input.
Support the onboarding of any future BD team members by maintaining clear process documentation and training materials.
All other duties as required.
