Original job description

Permanent Position – Primarily Onsite

The Legal Administrative Assistant provides administrative and clerical support to lawyers and legal teams, helping ensure the efficient day-to-day operation of legal services. This role contributes to the efficient day-to-day operations of the firm by completing a range of administrative, workflow, and document-related tasks with accuracy and professionalism.

This is an entry level role that offers the opportunity to build core legal administrative skills, develop proficiency in firm systems and workflows, and progressively take on more complex responsibilities. The role supports career progression within the Legal Assistant Services team, including readiness for future Legal Assistant opportunities.

This is a full-time position with standard working hours of 9:00 a.m. to 5:00 p.m. Occasional overtime may be required to meet client needs. The role is primarily onsite.

Primary Responsibilities:

Provide administrative support to legal teams based on workflow needs
Prepare, format, and manage legal documents using firm templates and tools
Assist with file opening, maintenance, and document organization
Handle routine administrative and financial tasks, including expense processing and reconciliation
Coordinate document production and assemble materials for client matters
Manage filing and workflow tasks within firm systems
Collaborate with team members to ensure timely and accurate service delivery
Maintain confidentiality and a high level of accuracy in all work
Support team coverage during peak periods or absences
Contribute to process improvements and adopt new tools or technologies as needed
Escalate complex, specialized, or sensitive matters in a timely and appropriate manner
Assist with additional administrative tasks and special projects, as assigned

Required Knowledge and Experience:

College diploma specializing in Law Clerk program or Legal Office Administration
Experience in a legal or professional services environment is an asset
Prior experience in an administrative or legal support role is considered an asset
Basic to working knowledge of legal administrative processes and documentation standards
Understanding of document formatting, proofreading, and production requirements
Knowledge of general office procedures, systems, and confidentiality practices
Bilingualism (English/French) is an asset

Pay Range

$50,000 to $55,000 per annum. Pay range to be commensurate with experience.
