The Opportunity:

Role Summary:
The Dispatch Assistant provides day-to-day administrative and operational support to the Dispatch team to help ensure the efficient movement of freight and timely completion of deliveries and pickups. This position assists with driver coordination, shipment tracking and follow-up, system updates, documentation, and communication between drivers and internal departments.
Working in a fast-paced LTL transportation environment, the Dispatch Assistant helps maintain accurate and up-to-date shipment information, responds to routine driver and operational inquiries, and escalates service issues or exceptions to the Dispatcher as required.

Key Accountabilities:In this role, you will:

Provide daily administrative and operational support to the Dispatch team.
Assist with communicating pickup, delivery, routing, and other dispatch information to drivers.
Monitor driver communications and relay relevant information to the Dispatcher or other departments as required.
Track and follow up on pickups and deliveries to help ensure shipments are progressing according to schedule.
Monitor shipment status and update transportation management and dispatch systems with accurate and timely information.
Assist with coordinating drivers for scheduled pickups and deliveries based on direction from the Dispatcher.
Communicate with drivers regarding routine shipment information, paperwork, delivery instructions, and status updates.
Identify delayed, missed, or otherwise impacted shipments and escalate exceptions to the Dispatcher for resolution.
Support the Dispatch team with driver check-ins and follow-up throughout the shift.
Assist with preparing, organizing, and maintaining dispatch documentation, manifests, trip sheets, delivery documentation, and other operational records.
Work closely with Customer Service, Operations, Dock/Warehouse, and other departments to communicate shipment updates and obtain required information.
Respond to routine inquiries regarding shipment and delivery status and direct more complex issues to the appropriate team member.
Enter and maintain accurate driver, shipment, pickup, and delivery information within company systems.
Assist with reviewing outstanding pickups and deliveries and follow up as directed.
Support the coordination of appointment deliveries, special delivery requirements, or customer-specific instructions.
Ensure required documentation is received from drivers and appropriately processed or forwarded.
Maintain organized and accurate electronic and/or manual dispatch records.
Provide general clerical and administrative support to the Dispatch and Operations teams.
Follow company policies, procedures, and safety requirements.
Perform other duties as assigned.

QualificationsWe’re looking for someone who brings:Education & Experience:

Secondary School Diploma or equivalent required.
Previous experience in transportation, logistics, dispatch, customer service, or an administrative environment is considered an asset.
Previous experience in an LTL transportation environment is considered an asset.
Familiarity with transportation terminology, bills of lading, manifests, pickup and delivery processes, and freight documentation is an asset.
Experience using transportation management or dispatch systems is considered an asset.
Previous experience communicating with commercial drivers is considered an asset.

Skills & Attributes:

Strong organizational skills with the ability to manage multiple tasks and priorities.
Strong attention to detail and commitment to maintaining accurate records and system information.
Effective verbal and written communication skills.
Comfortable communicating with drivers and internal departments throughout the day.

Strong computer and data-entry skills with the ability to learn transportation management and dispatch systems.
