Position Summary:
Total Base Pay Range - $53,443.00 - $83,505.00 CAD Annual
DATA MANAGEMENT
- Ensure that all entries being processed are done accurately
- Coordinates and distributes work to staff or other branches for all entries to ensure files are completed timely and accurately. In case of LVS, ensures work is completed before the next consolidation to avoid transferring a minimal number of files.
- Prepares and transmits monthly LVS consolidation and ensures that it is accepted to avoid penalties
- Reviews customs rejects and corrects them to avoid penalties, as and when necessary
DISPUTE RESOLUTION
- Resolves client disputes (internal & external) by emitting requests for credit notes, claims, amendments and/or corrections
- Meets with staff and clients to resolve internal disputes and finds solutions to problems. Supports them on rating questions
- Assists customers and other departments with requests such as classifications, documents, changes, questions on OGD requirement etc.
- Responds to clients (via phone or e-mails) on escalated issues with regards to any of our invoices i.e. wrong account used, rating error, fees miscalculation etc.
REPORTING
- Compiles information and generates various weekly/daily reports for management
- Ensures accuracy by analyzing each transaction and resolves them using necessary tools/resource
- Administers and actions Overdue Invoices (ODI) and other financial reports, and solves issues and follows-up on inquiries as needed
TRAINING
- Conducts meetings with staff to discuss various topics such as training, updates and changes to their work and company in general
- Provides direction and guidance to team as required, trains them on rating and regulatory requirements - ex: dates of direct shipments, VFD codes, values to be added and/or deducted, certificates of origin, dumping etc.
- Prepares and distributes SOPs for additions and/or changes for clients on the computer system
- Participates in IT projects/changes for preparing SOP’s, tests new changes to programs before being applied to production
- Issues and follows-up on “tickets” and “service requests” in order to help staff do their work better and in a more effective way
- Fills out forms and documents for written warnings, hiring new staff, interview reports, LLA’s, performance appraisals, minutes from meetings (either w/staff or w/Regional managers), MBO’s and job descriptions
- Perfoms any other duties as assigned by the Supervisor
- High School Diploma and 3 years of College required
- Minimum 7 years of experience in managing rating in a Customs department with a reputed Transportation and Brokerage firm
- This position requires proficiency in both English and French. Candidates must be bilingual (English/French).
- Excellent communication skills, bilingual an advantage
- Advanced knowledge of MS Office and Outlook
- Excellent inter-personal skills and solid ability to prioritize, organize and multi-task
- Ability to work under pressure, exercise good time management skills, detail-oriented.

RAPPORTS

FORMATION
- Tient des rĂ©unions avec le personnel pour discuter de divers sujets tels que la formation, les mises Ă jour et les changements liĂ©s au travail ou Ă lâentreprise
- Fournit directives et encadrement Ă lâĂ©quipe au besoin, les forme sur la tarification et les exigences rĂ©glementaires - ex. dates des expĂ©ditions directes, codes VFD, valeurs Ă ajouter ou dĂ©duire, certificats dâorigine, antidumping, etc.
- Prépare et distribue les procédures opérationnelles normalisées (SOP) pour les ajouts et/ou modifications relatifs aux clients dans le systÚme informatique
- Participe aux projets ou changements informatiques pour la préparation des SOP et teste les nouvelles modifications aux programmes avant leur mise en production
- Ămet et effectue le suivi des « tickets » et « demandes de service » pour aider le personnel Ă amĂ©liorer leur efficacitĂ©

EXIGENCES
