About the Role

We are looking for a dependable, organized and detail-oriented Administrative Support team member to join our Killarney office. This position will provide day-to-day administrative and accounting support, with a strong focus on Accounts Receivable (AR), Accounts Payable (AP), invoicing and financial recordkeeping.

The successful candidate will be comfortable working independently, managing multiple priorities and maintaining accuracy in a fast-paced office environment.

Key Responsibilities

Accounts Receivable

Prepare and process customer invoices
Enter and maintain customer account information
Apply payments and reconcile customer accounts
Monitor outstanding balances and follow up on overdue accounts
Assist with customer statements and account inquiries
Maintain accurate AR records and documentation

Accounts Payable

Receive, code and process vendor invoices
Match invoices with purchase orders, receiving documents and approvals
Enter invoices and maintain vendor records
Prepare payments and assist with payment processing
Reconcile vendor statements and resolve discrepancies
Maintain organized AP documentation

Administrative Support

General data entry and recordkeeping
Filing and maintaining electronic and paper documentation
Answer phones and respond to general inquiries
Assist with month-end accounting procedures
Prepare reports, spreadsheets and correspondence as required
Support office operations and other administrative functions as needed
Work collaboratively with management and other departments

Qualifications

Previous experience in an administrative, accounting or bookkeeping role
Experience with Accounts Receivable and/or Accounts Payable, Great Plains, Outlook, Excel
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Proficient with Microsoft Office, particularly Excel and Outlook
Strong communication and interpersonal skills
Ability to prioritize work and meet deadlines
Ability to work independently with minimal supervision
Experience with accounting software is an asset
