At Finning, you'll play an important role behind the scenes, ensuring equipment repairs, maintenance projects, and customer service activities run smoothly from start to finish. As a Service Coordinator, you'll be the central point of coordination between customers, planners, supervisors, technicians, and support teams, helping drive an exceptional service experience while maintaining accuracy, efficiency, and accountability throughout the repair process.

Job Description:

What You'll Do

As a Service Coordinator, you'll support the full lifecycle of maintenance and repair projects, from initial service requests through to invoicing and closure.

Service Planning & Coordination

Create and maintain Maintenance Customer Orders (MCOs) and work orders.
Review service requests and ensure required information is complete and accurate.
Coordinate credit approvals and customer documentation.
Review service history, warranty information, maintenance records, and technical documentation.
Apply marketing programs and service requirements where applicable.
Ensure work scopes, budgets, and schedules align with approved quotations.
Identify and escalate potential business, operational, or financial risks.
Maintain documentation and audit trails within company systems.

Service Execution Support

Partner with Repair Planners and Service Supervisors to ensure repairs progress efficiently.
Keep systems and project records updated in real time.
Process job adjustments, including labour, parts, and billing changes.
Coordinate transportation, logistics, and third-party contractor requirements.
Support warranty and goodwill claim processes.
Schedule and support project review meetings throughout the repair lifecycle.
Track commitments, action items, risks, and timelines.
Communicate project status and updates to key stakeholders.

Project Closure & Invoicing

Ensure all required documentation is completed and accurate.
Follow up on outstanding labour, parts, billing, inspection reports, and supporting records.
Support warranty claim submission requirements.
Expedite closure activities and resolve documentation deficiencies.
Prepare files for customer review and final invoicing.
Process work order closures while maintaining service excellence standards.

Customer & Stakeholder Support

Communicate regularly with customers and internal teams regarding repair status and progress.
Respond to service, warranty, production, and customer inquiries.
Participate in meetings and facilitate action-oriented discussions when required.
Deliver a professional, customer-focused experience throughout the service process.

Preferred Experience

Experience in a service coordination, project coordination, administration, operations, or customer support role.
Background in heavy equipment, construction, mining, oil & gas, forestry, manufacturing, transportation, or related industries is considered an asset.
Experience working with work orders, invoicing, service processes, scheduling, or warranty administration.
Knowledge of project coordination principles including scope, schedule, risk, and stakeholder management.

Education & Qualifications

Post-secondary education in Business Administration, Office Administration, Accounting, Project Coordination, or a related field is preferred.
Equivalent education and experience combinations will also be considered.
Typically 2-4 years of experience in a coordination, service, project, or operations support role.
