Build the Bridge Between Customers, Operations, and Service Excellence

Are you an organized, detail-oriented professional who thrives in a fast-paced environment? Do you enjoy coordinating multiple moving pieces, working with cross-functional teams, and ensuring exceptional customer service from start to finish?

We're looking for a Service Coordinator to join our Edmonton team. In this role, you'll play a critical part in supporting equipment repairs and maintenance projects by coordinating schedules, documentation, communication, invoicing, and project milestones. You'll work closely with planners, supervisors, technicians, customers, and vendors to keep jobs moving efficiently while maintaining high standards of accuracy and customer service.

This is an excellent opportunity for someone with experience in service coordination, project coordination, construction, heavy equipment, oil and gas, forestry, transportation, or other industrial environments.

Job Description:

What You'll Do

Coordinate Service Work from Start to Finish

Support the setup and administration of service work orders and repair projects.
Review customer requests and service requirements to ensure all information is complete and accurate.
Coordinate documentation, approvals, budgets, schedules, and service records.
Monitor project progress and maintain accurate updates within company systems.
Identify potential risks, delays, or issues and communicate them proactively to key stakeholders.

Support Project Execution

Partner with planners, supervisors, technicians, and support teams to keep projects on track.
Schedule and coordinate project meetings while tracking action items and commitments.
Assist with transportation logistics, contractor coordination, and site access requirements.
Maintain real-time project documentation and reporting.
Help ensure work is completed within scope, schedule, and budget expectations.

Drive Timely Invoicing and Project Closure

Track outstanding documentation and follow up with stakeholders to ensure jobs can be closed efficiently.
Support warranty, billing, and customer approval processes.
Verify service records, reports, inspections, photos, and related documentation are complete and accurate.
Assist with invoicing activities and help improve turnaround times for completed work.

Deliver Outstanding Customer Service

Act as a key point of communication between customers and internal teams.
Provide regular updates regarding project status and timelines.
Respond to inquiries in a professional and timely manner.
Build strong relationships with both internal and external stakeholders.

What We're Looking For

Required Qualifications

High school diploma or equivalent.
2+ years of experience in a coordination, project support, service administration, or operations support role.
Strong administrative and organizational skills with exceptional attention to detail.
Excellent written and verbal communication abilities.
Strong time management skills and the ability to prioritize multiple projects simultaneously.
Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.

Preferred Experience

Experience supporting service, maintenance, construction, industrial, transportation, heavy equipment, forestry, marine, oil and gas, or manufacturing operations.
Exposure to project coordination, scheduling, invoicing, billing, warranty administration, or customer service processes.
Mechanical aptitude or familiarity with equipment repair environments is considered an asset.
Understanding of project management principles, including scope, schedule, budget, risk, and stakeholder management.
