Original job description

Description

The Company:

FirstService Energy is the energy management and advisory division of FirstService Residential, delivering comprehensive energy management services to help communities proactively manage energy costs, compliance requirements, sustainability goals, and building operations.

Unlike traditional energy consulting firms that provide recommendations from the outside, FirstService Energy works as an integrated extension of the property management team. By combining energy expertise with the day-to-day operational knowledge of FirstService Residential, we serve as a trusted advisor and advocate for our clients, helping them make informed decisions that improve building performance and resident satisfaction.

Through a collaborative team of specialists in energy procurement, benchmarking and compliance, sustainability, utility management, energy efficiency, and building optimization, FirstService Energy provides a holistic approach to energy management. We leverage data analytics, industry expertise, and hands-on support to identify opportunities, manage risk, ensure regulatory compliance, reduce operating costs, and advance long-term sustainability objectives.

Our goal is simple: to provide clients with a proactive, strategic energy management partner that helps communities operate more efficiently, control costs, navigate an increasingly complex regulatory environment, and maximize the value of their assets.

Role Summary

The Sustainability Specialist is responsible for collecting, auditing, maintaining, and reporting utility and building data across multiple systems. The role supports energy benchmarking compliance, data analysis, customer reporting and tracking, internal reporting, and cross‑departmental communication. This position requires strong analytical skills, excellent communication, and the ability to manage deadlines in a fast‑paced environment.

Who Should Apply

You will thrive in this role if you enjoy solving problems, working with complex datasets, improving processes, and collaborating with both clients and internal teams to deliver successful energy compliance and benchmarking outcomes. This position is ideal for someone who wants to combine technical data expertise with customer engagement while working as part of an integrated team of energy professionals supporting clients across a wide range of energy management services, including compliance, benchmarking, procurement, sustainability, and operational efficiency initiatives.

Key Responsibilities

Utility & Building Data Management

Collect, validate, maintain, and analyze utility consumption, billing, and building characteristic data across multiple platforms, including EPA Portfolio Manager and EnergyCAP.

Maintain accurate records and ensure data integrity across all assigned systems, databases, and reporting tools
Investigate data quality issues and implement corrective actions in conjunction with the Compliance Supervisor where required to improve reporting accuracy and completeness

Support ongoing data audits and validation efforts to ensure data integrity, accuracy, and reporting readiness.

Benchmarking & Compliance

Support energy benchmarking programs by collecting, validating and maintaining accurate building and utility data, performing quality assurance reviews and preparing submissions to ensure compliance with applicable reporting requirements.
Prepare, review, and submit benchmarking data in accordance with applicable reporting requirements.
Research and interpret benchmarking regulations and reporting requirements within assigned jurisdictions.
Identify compliance risks, data inconsistencies, and reporting issues and escalate them to the appropriate internal stakeholder.
Prepare and distribute annual benchmarking and energy performance reports in collaboration with internal stakeholders, including compliance, communications, and offshore support teams.

Reporting & Business Support

Maintain reports, dashboards, charts, and summaries to support operational, compliance, and customer reporting needs.
Track customer, prospect, and project information and maintain accurate records within designated platforms.
Monitor assigned projects and workflows to support timely completion of departmental objectives.
Suppport KPI development and performance tracking initiatives to measure operational effectiveness and program outcomes.
Maintain, and improve Standard Operating Procedures (SOPs) and other process documentation.

Customer Service & Collaboration

Serve as point of contact for energy data, benchmarking, and utility-related inquiries and escalate complex issues as appropriate.
Respond to Helpdesk requests and shared inbox inquiries within established service standards.
Communicate professionally with property managers, account managers, utility providers, suppliers, and internal stakeholders.
Document actions, findings, and resolutions in company systems to ensure transparency and consistency.
Collaborate with cross-functional teams and support departmental initiatives and special projects as assigned.

Required Qualifications
