Original job description

Toronto, Ontario | Full-Time

MISSION: Own the details. Elevate the experience. Make an impact.

At Flatiron Wealth, we believe exceptional wealth management goes beyond investments. It's about relationships, trust, and helping clients navigate important financial decisions with clarity and confidence.

We're looking for an experienced Lead Client Service Associate who takes pride in delivering exceptional service, thrives on solving problems, and knows how to keep people, priorities, and processes moving forward.

This is a hands-on role for someone who brings proven experience in wealth management, takes initiative, and is ready to make an immediate contribution to a growing independent advisory firm.

The Opportunity

As our Lead Client Service Associate, you'll be a key connection between our clients, advisors, custodians, insurance partners, and service team.

Working closely with our Operations Manager, you'll take ownership of day-to-day client service delivery, coordinate complex requests, support your colleagues, and ensure that nothing falls through the cracks.

You'll play an important role in creating the thoughtful, responsive, and personalized client experience that defines Flatiron Wealth.

ESSENTIAL RESPONSIBILITIES: What You'll Do

Client Experience & Relationship Management

Own client onboarding, account openings, transfers, money movements, and ongoing service requests from start to finish.
Deliver timely, thoughtful, and proactive communication that builds client confidence and trust.
Manage complex service requests, anticipate challenges, and follow through to resolution.
Coordinate documentation, electronic signatures, and custodian submissions with accuracy and care.
Ensure client meetings and interactions are well prepared, seamless, and professional.

Wealth Management & Insurance Support

Support administration of registered, non-registered, corporate, and trust investment accounts.
Coordinate account maintenance, contributions, withdrawals, transfers, and cash management.
Support portfolio administration, trade-related workflows, fee reviews, and reporting within appropriate authorization and compliance requirements.
Assist with insurance applications, underwriting requirements, policy servicing, and carrier coordination.
Work closely with advisors and external partners to ensure accurate and timely processing.

Service Coordination & Team Collaboration

Coordinate daily service priorities, monitor outstanding requests, and ensure clear ownership and follow-through.
Manage shared inboxes, CRM activities, and service workflows to maintain consistent service standards.
Support and guide fellow Client Service Associates by sharing knowledge, providing direction, and helping resolve challenges.
Identify opportunities to improve workflows, reduce bottlenecks, and enhance efficiency.
Collaborate with the Operations Manager to implement service improvements and maintain accountability.
Uphold documentation, confidentiality, and regulatory compliance standards.

POSITION SPECIFICATIONS: What You Bring & What Sets You Apart

2 - 5+ years of relevant experience in Canadian wealth management, investment operations, or advisory client service.
Proven ability to independently manage complex client requests and coordinate multiple priorities.
Strong knowledge of Canadian investment accounts, custodian platforms, transfers, and investment administration.
Experience supporting insurance applications and policy servicing is a strong asset.
CSC, LLQP, or other relevant financial services credentials are preferred.
Proficiency with CRM systems, Microsoft Office, Adobe, and digital workflow tools.
Excellent communication, organizational, and problem-solving skills.
A collaborative mindset and experience supporting or mentoring colleagues.

You're someone who:

Takes ownership: You don't just identify what needs to be done - you see it through.
Thinks ahead: You anticipate client and advisor needs before they become urgent.
Communicates with confidence: You bring clarity, empathy, and professionalism to every interaction.
Brings solutions: You use sound judgment and resourcefulness to navigate challenges.
Elevates the team: You share knowledge, support colleagues, and take pride in collective success.
Embraces improvement: You're comfortable with technology, evolving processes, and finding smarter ways to work.

TEAM: Why Flatiron Wealth?

Built on values of Personal. Positive. Solid. Momentum. We're a growing, relationship-driven independent wealth management firm where collaboration, authenticity, and personal accountability matter.

You'll have the opportunity to:

Work closely with experienced advisors across financial planning, portfolio management, and insurance.
Take meaningful ownership of client service delivery.
Contribute ideas and improvements that shape how we serve our clients.
Grow your expertise and progress toward a Senior Lead Client Service Associate role through demonstrated performance and leadership.
Be part of a supportive, ambitious team where your contributions make a difference.

Starting base salary: $65,000–$70,000 annually, commensurate with experience and qualifications.
Bonus participation: Opportunity to participate in the firm's performance-based bonus program.
Career progression: Defined opportunities for professional development and advancement to Senior Lead Client Service Associate based on demonstrated expertise, performance, and leadership.

Ready to Join Us?

If you're an experienced wealth management professional who thrives on responsibility, values meaningful relationships, and takes pride in delivering exceptional results, we'd love to hear from you.
