Location: In-Office, 181 Bay Street, Toronto

Work Schedule: Full-time, in-office (5 days/week)

This is a full-time role working 8:30am – 5:00pm Monday to Friday.

Position Overview:

Forum Asset Management is seeking an Administrative Assistant | Front Office Reception, reporting to the Senior Executive Assistant, Corporate Operations. The successful candidate will be a key point of contact for visitors and team members, while maintaining a welcoming and professional environment. Key Duties and Responsibilities:

Administration

Welcome visitors to Forum and ensure they are properly directed
Maintain boardroom bookings and monitor the main office phone line
Order and restock office supplies and groceries for the team
Maintain and monitor office supply inventory levels, including kitchen, bathroom, office, printer, and workstation supplies
Monitor the kitchen, boardrooms, and common areas and ensure order and cleanliness
Coordinate couriers, pick up and distribute mail accordingly
Update and maintain corporate subscriptions and memberships
Monthly reconciliation of corporate credit cards
Track and remind team members of quarterly objectives

Coordination and Maintenance

Record, track and maintain document storage and filing systems on-site and off-site
Serve as liaison between IT vendor and internal team for coordination and issue resolution
Coordinate maintenance service tickets and appointments with property management vendor

Support

Work collaboratively with and support the Senior EA, and take on administrative tasks as assigned
Provide administrative support to the broader Forum team, including Leadership members, for example, updating Power Point presentations, scheduling travel, calendar management, etc.
Assist with new employee workstation setup and/or internal relocations, and new hire onboarding scheduling
Assist with event planning, and on occasion support events that occur in evenings
Support and participate in the Health & Safety Committee, policy updates and program

Candidate Profile:

Entry level role, for new graduate with experience in a support administrative role preferred
Proficiency in Microsoft Office
Positive attitude and strong work ethic
Ability to multitask and bring a creative approach to solving problems
Highly organized with strong time management skills
High attention to detail and accuracy
Strong written and verbal communication skills
Thrives in a fast-paced environment
Strong interpersonal skills to be able to liaise with all internal and external stakeholders
The ability to deal with ambiguity and handle changing and competing priorities is a must
Demonstrated ability to learn quickly and be able to demonstrate organizational awareness and business acumen
High sense of urgency and interest in growth within the firm
