G architects is a full service Canadian architecture firm designing community focused spaces across Ontario. With offices in Kingston, London, Timmins, and Toronto, our 50-person team, including 15 registered architects, specializes in Residential Care & Aging, Life Sciences, Social & Education, Healthcare, and Mental Health environments. Founded in 2014, we continue to grow our presence and impact through meaningful, people centered design.

The Opportunity

We are seeking a full-time Marketing & Proposal Coordinator to join our Marketing team! In this role, the successful candidate will work directly with the Director of Marketing, playing a critical role in shaping how G architects is represented externally. Day-to-day, you will support the development of proposals, marketing materials, and brand communications across the firm. This position offers meaningful responsibility and visibility within a lean team and requires someone who learns quickly, takes ownership of their work, and executes consistently to the firm’s brand standards. This is a fast-paced, hands-on role for a detail-oriented self-starter who can manage multiple priorities, work independently, and maintain a high level of professionalism.

What You’ll Do

PROPOSAL & BUSINESS DEVELOPMENT SUPPORT

Review and summarize RFPs, RFQs, and other pursuit documents to identify requirements, deadlines, and evaluation criteria
Coordinate consultant outreach and manage information collection for proposals
Develop first drafts of proposals in response to RFP requirements using established office templates
Maintain and update project sheets, staff bios, resumes, firm qualifications, sector materials, and other marketing collateral so information is current and readily available for pursuits
Ensure all submissions are accurate, well-organized, and aligned with G architects’ brand standards and guidelines
Track proposal schedules, deliverables, and submission requirements

MARKETING & COMMUNICATIONS

Manage and schedule content for the firm’s LinkedIn and Instagram accounts, ensuring consistency with brand voice and visual standards
Help develop and implement the firm’s PR strategy, including building relationships with media, publications, industry organizations, and other relevant contacts
Identify relevant award programs and coordinate submissions to increase visibility for the firm, its people, and its projects.
Help identify and coordinate conferences, speaking opportunities, sponsorships, and industry events aligned with the firm’s target sectors.
Coordinate routine website updates, including projects, team information, news, insights, and other content.
Coordinate photography needs for projects and events, including liaising with photographers and organizing assets
Draft blog articles and website content with guidance from the leadership and design teams

GENERAL MARKETING SUPPORT

Assist with presentation formatting and visual consistency as needed
Support event planning and coordination for internal and external initiatives
Provide ad hoc marketing and administrative support to the marketing and leadership teams

What We’re Looking For

We’re looking for a capable, motivated marketer who can work independently, manage competing priorities, and contribute to the quality and consistency of how G architects presents itself. The right person will bring strong communication skills, sound judgment, and a willingness to take ownership of their work.

At least 2–5 years of post‑graduation experience in marketing, communications, design, or a related field
Proficiency with Microsoft Office; familiarity with Adobe InDesign or related design tools is an asset
Experience in the architecture, engineering, or construction (AEC) industry is an asset but not required

WORK ENVIRONMENT

This is a full-time position (37.5 hours per week). G architects has four offices across Ontario in London, Kingston, Timmins, and Toronto, and the successful candidate may be based out of the office most convenient to them.
