POSITION MISSION

Ensure smooth, accurate, and professional administrative management of debris-related files while facilitating communication between insurers, clients, suppliers, and internal teams.

YOUR MAIN RESPONSIBILITIES

Open, organize, and update administrative files related to debris management.
Receive, validate, and document information required to process requests from insurers and internal teams.
Conduct follow-ups by phone and email with insurance companies, clients, suppliers, and Gamex team members.
Ensure each file contains all required information, relevant documentation, important dates, and follow-up notes.
Coordinate next steps to move files forward efficiently and prevent unnecessary delays.
Prepare, organize, and transmit required documents in accordance with internal procedures.
Collaborate with operations teams to ensure a smooth transition between administrative information and field execution.
Follow internal processes, quality standards, safety requirements, and confidentiality guidelines.
Contribute to a positive, professional, and solution-oriented work environment.

Review newly received files and identify daily priorities.
Update notes, documents, and tracking information in active files.
Communicate with an insurer, client, or supplier to obtain clarification or confirm next steps.
Meet with internal team members to coordinate upcoming actions.
Advance or close files once all required information has been received.

DAILY TOOLS

You will use Gamex's administrative and communication tools to organize information, document follow-ups, share relevant updates, and maintain visibility on file progress.

IDEAL CANDIDATE PROFILE

Minimum of five (5) years of experience in an administrative role or similar position.
Ability to manage multiple files simultaneously while maintaining priorities.
Excellent telephone and email communication skills.
Strong attention to detail in data entry, filing, and documentation.
Self-motivated, resourceful, sound judgment, and solution-oriented.
Ability to work in an environment where priorities may change quickly.
Professional discretion and respect for confidentiality.
Bilingual with strong communication skills in both French and English.

ASSETS

Experience handling insurance claims or loss-related files.
Knowledge of Prextra software or experience working with CRM systems.

TES PRINCIPALES RESPONSABILITÉS

Ouvrir, organiser et mettre à jour les dossiers administratifs liés à la gestion des débris.
Recevoir, valider et consigner les informations nécessaires au traitement des demandes provenant des assureurs ou des équipes internes.
Assurer les suivis par téléphone ou par courriel avec les compagnies d'assurance, les clients, les fournisseurs et les membres de l'équipe Gamex.
S'assurer que chaque dossier contient les renseignements requis, les documents pertinents, les dates importantes et les notes de suivi appropriées.
Coordonner les prochaines étapes afin de faire avancer les dossiers efficacement et d'éviter les délais inutiles.
Préparer, classer et transmettre les documents nécessaires selon les procédures internes.
Collaborer avec les opérations afin d'assurer une transition claire entre l'information administrative et l'exécution terrain.
Respecter les processus internes, les standards de qualité, les consignes de sécurité et la confidentialité des renseignements.

LE PROFIL RECHERCHÉ

Minimum de cinq années d’expérience dans un poste administratif ou dans des fonctions similaires
Aisance à gérer plusieurs dossiers simultanément et à respecter les priorités.
Excellente communication par téléphone et par courriel.
Rigueur dans la saisie de données, le classement et la documentation des suivis.
Autonomie, débrouillardise, jugement et attitude orientée vers les solutions.
