The Audio Department is looking for an Audio Operations Coordinator to keep the department running smoothly behind the scenes.

You will make sure that the Creative Audio Directors and the project teams they work with always have paperwork on time and there is never any missing information or out-of-date documentation.

If you like being the person who knows where everything is, who chases the approval before anyone notices it was missing, and who turns a messy shared space into something people can actually navigate, this role is for you.

What You Will Do

Administration and Paperwork

Prepare, submit and follow up on purchase orders and invoices from vendor onboarding through to completion.
Manage approval workflows, tracking each request until it clears.
Act as the liaison with Legal, Finance, Procurement and other stakeholders on audio contracts, NDAs, talent agreements and licensing paperwork - collecting what is needed, routing it to the right people, and following up.
Maintain administrative best practices for the department: clear templates, consistent naming, documented processes and reliable record keeping.

Keeping Our Information Centers In Shape

Own the upkeep of the department's knowledge spaces so information is current, structured and quick to find.
Act as the department's "Jira concierge": Keep boards, fields, labels and statuses tidy and consistent so reporting is reliable. You keep Jira healthy, but you do not create or assign the team's tasks.
Keep the department roadmap up to date, including deadlines, milestones and schedule changes as projects evolve.
Archive what is obsolete and flag what is missing, so the team is never working with old documentation.

Supporting the Creative Audio Directors and the Projects

Provide day-to-day administrative and organizational support to the Creative Audio Directors.
Gather and consolidate the information the audio team needs about our games - build versions, schedules, contacts, asset requirements, project specifics - and make it available in one reliable place.
Coordinate meetings, agendas and follow-ups: Capture decisions and action items, then make sure they are recorded where people will find them.
Serve as a first point of contact for routine audio requests from project teams, routing them to the right person and tracking them to closure.
Support onboarding of new team members and external collaborators, providing the right access, documents and context.
Experience in a coordination, administrative or operations support role - it is a plus if the experience is in the game industry, entertainment field or another creative production environment
Comfortable with administrative and procurement processes (POs, invoices, approval chains) and working with various stakeholders
Hands-on working knowledge of Jira, Confluence, SharePoint and calendar/scheduling tools
Genuinely organized: You build systems that stay tidy after you set them up, and you spot the missing piece before it becomes a problem
Strong problem-solving skills and real initiative - you identify what needs doing and move it forward without waiting to be asked
Clear, tactful written and spoken communication, ensuring that you can follow up persistently without friction
Reliable with confidential information, including contracts and talent agreements
Fluent in English, both written and spoken
Motivated by making other people effective, and comfortable in a support role

Nice To Have

Familiarity with game development pipelines and how audio fits into them
Basic understanding of audio production terminology and deliverables (you do not need to be a sound designer)
Experience supporting teams spread across multiple studios, regions and time zones
