About Us

Society Group owns and manages the event space at Windsor Station, one of Montréal’s most iconic heritage buildings. We rent the venue to organizers, agencies, and private clients for galas, corporate functions, weddings, launches, and productions. Our clients bring their own planners and suppliers; our job is to make sure the space works perfectly for them and is respected throughout. We’re also preparing to launch our own events at Windsor Station, and we’re building the team that will make that happen.

About the Role

As On-Site Venue Coordinator, you are our eyes and ears during every event. You’ll support event planners and suppliers while making sure everything runs smoothly in our space. You’ll keep the cleaning team on track, enforce venue rules with tact, and handle issues quickly so our clients can focus on their event.

Key Responsibilities

  • Represent the venue on-site during rentals, from supplier load-in to final load-out and handover.
  • Welcome clients, planners, suppliers, and partners, and give them what they need to work efficiently, such as access, loading instructions, power locations, and the right contacts.
  • Brief suppliers on venue rules and regulations, and make sure they are followed throughout the event, including restrictions on décor, attachments, open flames, load limits, noise, and restricted areas.
  • Supervise the cleaning team before, during, and after events, assigning tasks, checking quality, and making sure turnovers are completed on time.
  • Do walkthroughs before and after each event to document the condition of the space and note any damage or extra cleaning needs.
  • Act as the first point of contact for on-site issues, such as building access, HVAC, lighting, washrooms, or equipment problems, and escalate to maintenance or management when needed.
  • Ensure health and safety compliance, including capacity limits, clear emergency exits, and proper procedures for incidents.
  • Coordinate with security, building management, and other venue staff as needed.
  • Complete a short post-event report covering timelines, incidents, damages, overtime, and any billable extras.
  • Lead a debrief with the team after each event to review what went well, identify areas for improvement, and gather everyone’s suggestions

What You Bring

  • Experience in venue operations, hospitality, facilities, or event production.
  • A sharp eye for detail and the confidence to enforce rules politely but firmly.
  • Experience supervising or coordinating staff, ideally cleaning or operations teams.
  • A calm, solution-oriented attitude when things don’t go to plan.
  • Strong service skills and a genuine wish to make suppliers and clients feel well supported.
  • Clear communication in French and English.
  • Availability for evenings, weekends, and long event days, sometimes including late-night load-outs.
  • Ability to stand and walk for long periods and move throughout the building.
  • Asset: first aid certification or knowledge of building facilities.

What We Offer

  • Competitive pay
  • A front-row seat to a wide variety of events in a remarkable heritage setting
  • The chance to grow with us as we launch our own in-house events
