Position Summary
The Administrative Assistant provides vital support to the branch by managing communications, preparing reports, organizing records, and executing billing & purchasing tasks. Operating out of our Edmonton office, this role serves as a key point of contact, delivering exceptional service to both internal teams and external clients.
The position is based out of our Edmonton office (4208-84 Ave NW), Monday through Friday. 8:00 AM to 5:00 PM.
Specific Duties and Responsibilities
- Answer incoming phone calls, respond to inquiries, and monitor shared email inboxes to ensure timely communication.
- Prepare consolidated invoices for billing or claim submissions and execute routine billing tasks including portal entries.
- Input, validate, and track data in the Operational Management System (OMS) and Google Suite to maintain high accuracy and completeness.
- Create requisitions for purchasing, matching & uploading invoices for payment.
- Perform additional administrative duties and support as required.
Requirements
- High School Diploma or GED required.
- Minimum 2 years of experience in an administrative or customer service role.
- Prior experience in billing and invoicing, including processing invoices, resolving billing discrepancies, and preparing accurate financial records would be a strong asset.
- Proficiency with Google Workspace.
