Original job description

Position Summary

The Administrative Assistant provides vital support to the branch by managing communications, preparing reports, organizing records, and executing billing & purchasing tasks. Operating out of our Edmonton office, this role serves as a key point of contact, delivering exceptional service to both internal teams and external clients.

The position is based out of our Edmonton office (4208-84 Ave NW), Monday through Friday. 8:00 AM to 5:00 PM.

Specific Duties and Responsibilities

Answer incoming phone calls, respond to inquiries, and monitor shared email inboxes to ensure timely communication.
Prepare consolidated invoices for billing or claim submissions and execute routine billing tasks including portal entries.
Input, validate, and track data in the Operational Management System (OMS) and Google Suite to maintain high accuracy and completeness.
Create requisitions for purchasing, matching & uploading invoices for payment.
Perform additional administrative duties and support as required.

Requirements

High School Diploma or GED required.
Minimum 2 years of experience in an administrative or customer service role.
Prior experience in billing and invoicing, including processing invoices, resolving billing discrepancies, and preparing accurate financial records would be a strong asset.
Proficiency with Google Workspace.
