The opportunity
The Lead, Office Management, ensures the smooth and efficient operation of Gildan’s head office by overseeing office services, reception coverage, employee and visitor support, vendor coordination, facilities management, mail and shipping, events, and workplace safety and security activities. The incumbent supervises the front desk and administrative support employees, delegates priorities, and ensures consistent, professional service delivery across office management activities. Based at the Montreal Corporate Office, this position reports directly to the Director, IT Administration.
The role
- Supervise, train, and oversee front desk and administrative support staff, ensuring effective coverage and consistent service delivery.
- Delegate tasks, manage priorities, and support office management, reception, mailroom, and employee support activities.
- Coordinate reception coverage and provide backup support during staff absences as required.
- Ensure visitors and employees receive a professional, welcoming, and responsive experience.
- Oversee day-to-day office operations, including workspace coordination, room reservations, visitor registration, and employee inquiries.
- Ensure reception areas, meeting rooms, kitchenettes, and shared spaces are maintained, organized, and properly supplied.
- Coordinate catering, refreshments, office events, and emergency response support as needed.
- Manage office purchasing activities, including quotations, approvals, purchase orders, and vendor coordination for office services and supplies.
- Partner with Accounts Payable and stakeholders to support vendor onboarding, invoice processing, and timely payments.
- Monitor spending, prepare reports, support budget management, maintain cost controls, and coordinate parking administration.
- Oversee mail, courier, shipping, receiving, tracking, and inventory management for office supplies, equipment, and operational materials.
- Coordinate maintenance, repairs, renovations, office moves, contractor activities, and workplace services with building management.
- Manage keys, secure office access, and coordinate service and maintenance requirements for office equipment.
- Support onboarding and offboarding activities, including workspace preparation, equipment logistics, hardware recovery, and access management.
- Partner with HR, IT, and internal stakeholders to maintain office policies, security measures, emergency procedures, access controls, and ISO 27001 compliance requirements, including access reviews and clean desk practices.
- Support Board-related logistics, visitor management, and security coordination, while identifying opportunities to improve office operations, service levels, employee experience, and operational efficiency.
Schedule
- 8:30 a.m. to 4:30 p.m.
- Occasional work during non-business hours to support contractors onsite.
- Four times a year, when Gildan holds its quarterly board meetings, may be required to be available at 7 a.m. The schedule for the entire year will be provided well in advance.
- May be required to bend, stoop, and stretch for the purpose of filing, lifting, or moving supplies of up to 20 lbs.
The requirements
- College diploma or bachelor’s degree in Business Administration, Office Administration, Management, or a related field.
- 3 to 5 years of experience in office administration, workplace services, facilities coordination, or a similar role.
- Excellent interpersonal skills; professional, service-oriented mindset.
- Strong organizational and time-management skills.
- Attention to detail and problem-solving abilities.
- Effective written and verbal communication skills.
- Ability to work efficiently under pressure and manage changing priorities and interruptions
- Proficiency in MS Office (Outlook, Word, and Excel in particular).
- Bilingual: French & English.
- First-aid training is an asset.
- This position requires proficiency in a language other than French to support customers, employees or markets located outside the province of Quebec or requiring services in a language other than French – mainly English.
