Job Summary
The Intermediate Project Coordinator will provide administrative and project governance support across corporate real estate projects. The initial focus will be supporting the closeout of a long-term program involving two buildings and a final employee move. The candidate may subsequently transition to supporting two projects preparing for construction, move management and eventual closeout.
This is a hands-on Project Coordinator/PCO position rather than a Project Manager role. The successful candidate must understand project management practices while remaining comfortable owning the detailed coordination, documentation and administrative work required to keep projects organized. The team requires someone who can begin contributing quickly, independently locate information and engage stakeholders without requiring significant day-to-day direction.
Key Responsibilities
- Support project closure activities and ensure required documentation, records and administrative deliverables are completed.
- Maintain project management logs, including risks, changes and other governance trackers.
- Coordinate meetings, schedules and stakeholder discussions.
- Prepare accurate meeting minutes and track follow-up actions.
- Create and update PowerPoint presentations, Excel trackers, Word templates and project documentation.
- Organize project information within Microsoft 365 team sites, SharePoint and internal repositories.
- Support project reporting, documentation and governance requirements.
- Bring together key stakeholders and establish effective working relationships across different business and technical functions.
- Independently research project information and identify the appropriate stakeholders, documentation and resources required to complete assigned work.
- Provide shared coordination support across projects preparing for construction, move management and project closeout.
Must-Have Requirements
- 3–5 years of experience as a Project Coordinator, Project Control Officer or in a comparable project support role.
- Experience maintaining project governance documentation, including risk logs, change logs, meeting minutes, schedules and project trackers.
- Strong Microsoft PowerPoint presentation-development skills.
- Proficiency with Microsoft Excel, Word and Microsoft 365 collaboration tools.
- Ability to work independently, locate information, engage stakeholders and complete assigned work without extensive handholding.
Nice-to-Have Requirements
- Previous experience supporting project closure or closeout activities.
- Experience with Microsoft Project or Planview.
- Experience with Planview.
- Experience with Tableau.
- Experience using AI tools such as ChatGPT or comparable enterprise AI platforms in a professional environment.
- Experience supporting large, complex projects or working in a large enterprise.
- Corporate Enterprise Real Estate, construction or move-management project exposure.
Required Skills
- Self-directed and self-motivated.
- Proactive and willing to take initiative.
- Able to learn quickly and work through unfamiliar information.
- Personable, outgoing and comfortable initiating stakeholder conversations.
- Strong verbal and written communication skills.
- Able to work effectively with different personalities and stakeholder groups.
- Collaborative and comfortable operating as a shared resource across multiple projects.
- Forward-thinking and resourceful.
- Detail-oriented, particularly when preparing meeting minutes, logs and presentations.
Required Experience
- 3–5 years of Project Coordinator, Project Control Officer or comparable project support experience.
- Medical, Vision, and Dental Insurance Plans
- 401k Retirement Fund
Important Notes
- The interview process consists of 2 interviews: the first with two Senior Project Managers (one from each project) and the second with both Directors (one from each project). Interviews are conducted in person or via Microsoft Teams and are approximately one hour in duration.
- Please include the following in your submission: Tell me about a time you were given limited direction in a new project or business area and still had to become effective quickly. How did you get yourself up to speed, what did you learn on your own, and how did you turn that into results? Based on that experience, how would you approach onboarding yourself into this role and into this Real Estate project in your first 30 days?
