Role Description The HVAC Dispatcher is a full-time, on-site role based in the Greater Toronto Area, Canada. This role coordinates daily service calls, schedules HVAC technicians, and ensures efficient routing to meet customer needs and service deadlines. Responsibilities include responding to customer inquiries, updating work orders, managing changes to schedules, and communicating clearly with technicians, sales staff, and customers throughout the day. The dispatcher monitors job status, tracks parts and equipment availability, and supports timely resolution of service issues. The role also involves maintaining accurate records in dispatch and ERP systems, prioritizing urgent calls, and contributing to a positive, service-focused team environment.
Qualifications
- Experience in dispatching, scheduling, or coordinating field service teams in HVAC, construction, or related industries.
- Strong communication and customer service skills, with the ability to handle high call volumes and provide clear, professional updates.
- Proficiency with computer systems and dispatch or ERP software, including data entry, work order management, and basic reporting.
- Solid organizational and time-management skills, with the ability to prioritize multiple tasks and adapt to changing demands.
- Knowledge of HVAC terminology, parts, and service processes, or a willingness to learn and build technical understanding.
- Attention to detail and accuracy in documentation, scheduling, and record-keeping.
- Ability to work on-site in the Greater Toronto Area and collaborate effectively with technicians and warehouse/sales staff.
- Previous experience in a distribution, logistics, or HVAC environment is an asset; relevant post-secondary education or certification is beneficial.
