The Ministry of Environment’s role is to manage the health of Saskatchewan’s environment in a responsible manner that supports sustainable growth through objective, transparent and informed decision-making and stewardship.

The Opportunity:

The Ministry of Environment is seeking a well-organized, confident, and highly motivated administrative professional for the position of Executive Coordinator. Working in a complex environment that requires multi-tasking, confidentiality, and juggling shifting priorities, you will deliver administrative and office management support. Your diplomacy, tact, and ability to lead, guide, coach and supervise staff are key to success in this rewarding position.

This position offers the chance to join an exciting ministry, supporting the Forest Service Branch. The successful candidate will join a team of professionals who work together to support the Ministry mandate. The ministry’s one-team approach means that the successful candidate will have experienced and supportive colleagues, as well as opportunities to learn and grow.

In support of the Forest Service Management Team, the successful candidate will:

Lead the administration of human resource processes, electronic and paper file management, scheduling and logistics of branch and Executive Director activities and budget and forecast monitoring;
Act as a liaison between the Executive Leadership team, the Minister’s Office, as well as Ministry staff to disseminate information, clarify instructions and follow up on matters pertaining to referrals, inquiries, and meetings, while ensuring timelines are met;
Review, prioritize, direct and coordinate requests and follow up as necessary, while ensuring confidentiality, consistency, and accuracy;
Work with others within the Ministry and across the provincial and federal governments to coordinate activities, balance multiple priorities, and provide timely and accurate information; and
Provide guidance to staff across the Ministry and create cross-team collaboration for organizational effectiveness.

Responsibilities

Manage the Senior Executive’s calendar through collaboration, prioritization, and scheduling.
Assemble briefing and background materials for the Senior Executive in preparation for meetings.
Monitor the Senior Executive’s email and redirect requests to appropriate team members.
Plan, schedule, and coordinate travel and logistics for meetings, training sessions, and other events.
Identify and implement improvements to streamline administrative operations.
Train, mentor, and supervise an administrative team.
Draft, edit, and proofread correspondence in accordance with visual identity standards.
Coordinate and participate in meetings by preparing agendas, recording minutes, and tracking action items to ensure deadlines are met.
Manage all incoming and outgoing correspondence to ensure timely distribution.
Maintain manual and electronic filing systems, including bring‑forward and records‑management processes.
Process invoices, including coding and tracking for approval and payment in compliance with policies.
Compile expense data and prepare budget reports for review.
Order office supplies and arrange equipment repairs and furniture replacements.
