PROFILE

We are seeking an Events Coordinator to join our Toronto office for a 13 month contract!

Events have the power to connect, build relationships, shape perceptions, demonstrate expertise and transcend boundaries. At Gowling WLG, events are a core component of our client, people and community engagement approach and our go-to-market strategy. To us, an event isn’t a moment-in-time; it’s an opportunity to engage, delight and create memorable experiences for our clients, people and communities - before, during and after each interaction.

Working closely with the Manager, Events & Experiences, the Events Coordinator plays a role in supporting the delivery of consistently high-quality event experiences across the Firm - locally and nationally, in-person, virtual, and hybrid. This role builds foundational skills and focuses on strong execution, organization and collaboration.

The successful candidate will be highly organized, dependable, and a service-oriented team player with excellent communication skills who takes pride in delivering polished, well-run events. The individual will work closely with various Events Specialists and Leads, as well as colleagues across BD & Marketing, Office Services, Hospitality, and other internal teams and external vendors to support seamless planning and execution.

Responsibilities

Event Coordination & Execution

  • Work across the Events team and with Specialists and Leads to support the execution of local and national events, adhering to clearly defined objectives, timelines, and requirements
  • Collaborate closely with relevant stakeholders to ensure all initiatives are executed flawlessly, on time and on budget, delivering best-in-class experiences
  • Support and/or manage event logistics and preparation including invitations, registration, materials development, research, name tags, room setup, AV/technical support, catering, and on-site execution
  • Liaise with internal service teams and external vendors to support timely delivery of event components and smooth on-the-day execution
  • Develop and maintain detailed project plans for assigned events, including budgets, approval pathways, key dates and milestones with a high-level of accountability to ensure deadlines and deliverables are met
  • Partner with Communications, Translation, Brand, Digital and Social media teams to activate cohesive event messaging, ensure brand consistency, support promotion, and enable thoughtful follow-up
  • Maintain and update the centralized Calendar of Events to support internal visibility, coordination, and engagement
  • Prepare detailed and useful post-event reports, summaries and presentations, including attendance, feedback, and basic KPI tracking
  • Actively use the Firm’s CRM to support data tracking and ROI reporting through campaign and event setup, attendee details, and data accuracy
  • Help support the management of Firm tickets (season tickets for various sporting and concert events), branded merchandise and gifts for client and internal events and initiatives as needed
  • Provide administrative and organizational support to Events team members as needed

Collaboration & Team Culture

  • Establish and maintain strong working relationships across the Events team, BD & Marketing, and office-based partners to support consistent and effective event delivery
  • Contribute research and ideas to enhance event experiences and continually identify opportunities to improve engagement, efficiency, execution, and attendee satisfaction
  • Proactively identify issues, risks, or gaps and escalate appropriately to support successful outcomes
  • Demonstrate curiosity and a growth mindset by incorporating best practices, feedback, new ideas and shared learnings into day-to-day work

Qualifications

  • Post-secondary degree or diploma in event planning, marketing, communications, hospitality, or a related field, or equivalent practical experience
  • Minimum of 2–3 years of experience supporting or coordinating events; experience in a professional services or B2B environment is an asset
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously
  • Comfortable working in a fast-paced, dynamic environment with shifting priorities
  • Clear written and verbal communication skills with a proactive, professional, and client-service-oriented approach
  • High level of attention to detail and accountability with a focus on excellence
  • Willingness to learn and adopt event technology, CRM tools, and Firm processes, in addition to being comfortable learning new systems and platforms
  • Collaborative team player with the ability to work effectively across cross-functional, dispersed teams

Benefits/Perks

Gowling WLG’s total rewards program is designed to foster a culture where high performance and personal well-being go hand-in-hand. We support your career and life with:

  • 100% employer-paid health, dental, and mental health coverage, plus an annual lifestyle spending allowance

  • 15+ vacation days and hybrid work flexibility
  • Employee & Family Assistance Program, guided CBT, and an internal network of 120+ trained Mental Health First Aid responders
