PARTNERSHIP COORDINATOR (Contract)

Reporting to the Director, Partnerships & Member Experience, the Partnership Coordinator must have excellent organization and communication skills, be results oriented, and have the ability to effectively prioritize workflow in a fluid environment.

You must be detail oriented, self-starter, collaborative, and be energized by a fast-paced environment. The ideal candidate for this position is customer centric and a team player with impeccable time management abilities. If this sounds like you, please read on.

Salaried Contract: ending April 30, 2027, with possibility of extension

Department: Partnerships

Compensation Range: $55,000 - $60,000 annualized

WHAT WE OFFER

WHAT YOU’LL DO

Sponsor delivery/activation
Be the point of contact for all confirmed sponsors
Send activation emails to confirmed sponsors
Work with marketing team to have sponsor logos added to event webpages
Review all event eblasts and marketing material to ensure sponsors have been included as per entitlement
Manage sponsor activation tracking
Work with sponsors to obtain tables/guests names and dietary restrictions
Manage all event-related private receptions/roundtables (guest lists, RSVPs, onsite registrations)
Arrange for all sponsor collateral (banners, table drops, etc.) to be delivered one week before events
Collaborate with event lead on placement of sponsor on-site activations and take responsibility for set-up and takedown of sponsor banners etc.
Work with the accounting team on invoice coordination
Post-event, arrange to send back all unused sponsor collateral, banners, etc.
Follow up with sponsor after the event with a thank-you message

Partnerships (Pillar, Foundational, Annual, and Programs/Training)
Primary point of contact for all Partnership deliverables and regular communication
Coordinate day-to-day requests involving Partners
Consistent monitoring and coordination of deliverables for all Partners

Manage deliverables tracking spreadsheets

Prepare and email monthly summaries for all Partners along with events calendar
Schedule quarterly meetings with accounting to reconcile/review partnership agreements
Work with marketing on partner eblasts and advertising

Sponsorship Packages

Create and update sponsorship packages
Research and identify new sponsor activation opportunities

Executive Engagement

Support the Director, Partnerships & Member Experience in the planning and execution of CEO dinners, private roundtables, and receptions, including:

-Guest list management

-Invitation coordination

-Venue booking

-RSVP management

WHO YOU ARE

Education:

Bachelor’s degree or technical school diploma, or an equivalent combination of education and experience
Proficiency with CRM systems, Microsoft Office applications (including Excel and PowerPoint), and internet-based tools.

Preferred Experience:

Strong presentation and relationship-building skills
Experience in sales, partnership account management, sales coordination, or a related client-facing role

Required Skills:

Highly organized, detail-oriented, and skilled at managing multiple priorities
Excellent interpersonal skills and a high level of professionalism
Strong written and verbal communication skills
Resourceful, proactive, and able to think creatively to solve problems
Must be a collaborative team player who is willing to pitch in and support colleagues as needed

ADDITIONAL FACTORS

The successful candidate must be able to maintain a flexible schedule, as occasional early morning, evening, and after-hours event support is required.
