Original job description

English section of this bilingual listing.

Overview

We are seeking a highly organized, detail-oriented, and proactive Sales Coordinator to join our team. This role serves a dual strategic purpose: providing high-level administrative and operational support to our Account Managers, while taking full operational ownership of Costco’s e-commerce content, Syndigo product setups, and web requirements.

The ideal candidate bridges sales operations, digital asset management, and cross-functional project coordination. You will ensure our product listings on Costco.com (and other key partner platforms) are executed with 100% accuracy, on time, and aligned with strict retailer guidelines.

Key Responsibilities

Digital Platforms & Vendor Setup

Maintain and utilize the NuORDER platform for daily sales activities, including uploading new seasonal styles, creating digital line sheets, and managing style/inventory data.
Oversee new vendor setups and maintain account-specific Vendor Asset Templates to ensure complete and standardized product records across all retail partners.
Collaborate closely with Marketing and Production to ensure continuous, accurate sync of product data and assets across Product Information Management (PIM) and Digital Asset Management (DAM) systems.

Sales Operations & Sample Coordination

Assist Account Managers with daily operational workflows, buyer correspondence, meeting preparation, and travel calendar coordination.
Manage the end-to-end procurement, labeling, distribution, and tracking of product samples for buyer meetings, web asset creation, and the NYC showroom.
Maintain, audit, and update the master Buy Doc to ensure real-time accuracy.
Prepare and distribute weekly sales reporting (including Booking Reports and Open Order Reports) and generate custom sales/inventory reports from the Momentis ERP system.
Assist in maintaining, updating, and coordinating the production and printing of seasonal digital and physical catalogues.
Provide additional coordination and administrative support as needed to optimize daily operations across the Sales department.

Costco E-commerce

Manage the end-to-end setup and ongoing maintenance of Costco ecommerce product listings within Syndigo, including image cropping and formatting, asset uploads, product descriptions, attribute mapping, and layout optimization to ensure compliance with Costco’s requirements.
Serve as the primary point of contact for all Costco-related e-commerce requirements. Partner cross-functionally with Marketing, Sales, Design, and Production to gather product specs, high-res creative assets, copy, and packaging details to support seamless product launches.
Oversee the online implementation, setup, and merchandising of Costco product listings. Ensure all listings, digital assets, and copy are accurate, active, and live according to strict seasonal launch timelines.
Build and plan the web setup mock ups for Costco’s approval on all ecommerce product listings.
Conduct thorough QA reviews of live Costco e-commerce listings to ensure data accuracy, image integrity, and brand consistency. Proactively identify and resolve listing errors, content sync issues, or missing attributes.

Qualifications & Experience

Bachelor’s degree in Business Administration, Marketing, Fashion Management, or a related field.
Minimum 2+ years of experience in a Sales Support, E-commerce Coordination, or Digital Content setup role (apparel or consumer goods industry preferred).
Direct experience using Syndigo (or similar GDSN / Content Syndication platforms) for retailer setups is required.
Experience with Costco Vendor Portal / E-commerce setup requirements is a strong asset.
Proficiency in NuORDER (or similar B2B portal) and Momentis ERP.
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
