Original job description

Harbor is seeking a proactive and detail-oriented Talent Operations Coordinator to join our team on a fixed-term basis to provide maternity leave coverage. This role is ideal for an HR professional who thrives in a fast-paced, high-growth environment and enjoys supporting Talent Operations across multiple regions. As a key member of the Talent team, you will help ensure Talent processes run smoothly and efficiently while delivering a consistent and positive employee experience. You will collaborate closely with Talent, IT, and Finance teams globally, gaining exposure to international processes and supporting Talent operations across North America and other international regions. This hands-on operational role requires exceptional organization, attention to detail, sound judgment, and the ability to manage multiple priorities effectively.

Office Requirement:

This position is based in Moncton, New Brunswick, and requires employees to work at least three (3) days per week in the Moncton office, with the remaining two (2) days worked remotely. Candidates must be able to reliably commute to the Moncton office to support onboarding activities, employee services, workplace operations, and health and safety responsibilities.

Fixed-Term Contract (Maternity Cover):

This position is offered as a fixed-term contract to provide maternity leave coverage for a defined period. The contract will commence and conclude on agreed-upon dates in accordance with business requirements and applicable Canadian employment legislation.

Should the maternity leave period be extended, there may be an opportunity to extend the contract, subject to business needs and mutual agreement. The successful candidate will receive all statutory benefits and protections applicable under local employment legislation.

Responsibilities:

Employee Lifecycle (Onboarding, Offboarding & Employee Changes):

Support end-to-end onboarding, offboarding, and employee lifecycle activities across multiple regions.
Coordinate onboarding activities, including: Employment contracts and documentation, Welcome communications, New hire gifts, System setup coordination, Buddy assignments, Orientation sessions, Onboarding feedback surveys
Serve as a point of contact for new hires before and during onboarding.
Support hybrid office onboarding in Moncton and Chicago, including: Building access and security badges, Workspace setup, Parking arrangements, Related office logistics
Ensure employee data is accurately recorded and maintained in HR systems.
Coordinate background checks and pre-employment screening.
Manage offboarding activities, including documentation, manager checklists, exit meetings, and system access removal.

Benefits & Leave Administration:

Support administration of employee benefits programs, including enrollments, changes, renewals, and terminations.
Respond to employee benefits inquiries and escalate complex issues as required.
Coordinate leave administration activities, including: Leave tracking, Reporting, Employee communication, Return-to-work processes
Maintain accurate leave records and ensure compliance with applicable policies and regulations.
Reconcile monthly U.S. and Canadian benefits invoices to support billing accuracy.
Participate in regular broker account review calls and coordinate follow-up actions.
Coordinate Group RRSP enrollment activities and maintain the associated governance framework.

Systems & Data Management:

Maintain accurate and up-to-date employee records across Talent systems.
Support HR data audits and reporting activities.
Monitor data quality and ensure consistency across systems.
Prepare reports and assist with data analysis as needed.

Employee Support, Operations & Compliance:

Act as a key point of contact for employee inquiries in Canada.
Monitor and manage shared Talent inboxes, ensuring timely responses.
Prepare standard employment-related documentation, including leave and employment change letters.
Support payroll administration through monthly data validation and reconciliation activities.
Manage the monthly Spot Awards nomination process through Microsoft Forms.
Maintain Talent Operations content on the company intranet, including: Total Rewards information, Employee handbooks, Health & Safety materials
Maintain the Moncton Health & Safety program and related policies in partnership with WorkSafeNB.
Serve as the Moncton Health & Safety Representative.
Conduct Health & Safety orientations for new hybrid employees.
Complete monthly workplace inspections and maintain required workplace postings.
Respond to health and safety inquiries.
Support the Talent team with Canadian employment-compliance questions using available resources.
Triage and route inquiries received through the shared Talent inbox.

Process Improvement & Operational Excellence:

Follow established Talent Operations processes and checklists to ensure consistency and compliance.
Support updates to policies, handbooks, and process documentation.
Identify opportunities to improve operational efficiency and employee experience.
Provide cross-regional operational support as needed to ensure global team coverage.

Qualifications:

1-3 years of experience in an HR, Talent Coordination, or administrative role.
Experience working in a professional services, corporate, or fast-paced environment.
Strong organizational skills and exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
Proactive, dependable, and accountable with a strong sense of ownership.
Proficiency with Microsoft Office Suite, including: Outlook, Excel, Word, PowerPoint, and Teams
Ability to handle confidential and sensitive information with discretion.
Ability to work in a hybrid environment and attend the Moncton office at least three days per week.

Preferred Qualifications:

Experience supporting international or multi-region teams.
Knowledge of Canadian employment practices, benefits administration, and payroll processes.
Experience using HR systems such as Workday or similar platforms.
Experience in a high-growth, scaling, or private equity-backed organization.
Ability to anticipate business needs and proactively identify solutions.
Strong stakeholder management and interpersonal skills.
Understanding of broader Talent and HR market trends and best practices.
