Administrative / Marketing Assistant

Job Type: Contract

Contract Duration: 2 Months

Pay Rate: Up to $27/hr

Our client is a well-established, family-owned real estate organization with over 50 years of experience in the ownership, development, leasing, and management of industrial, commercial, and residential properties. With a diverse property portfolio and a collaborative team environment, the company prides itself on delivering high-quality service and maintaining long-standing relationships throughout the Greater Vancouver market.

Your New Role

The Administrative and Marketing Assistant will play a key role in supporting daily office operations, reception activities, marketing initiatives, and administrative functions; you will serve as the first point of contact for visitors and callers while also supporting property leasing activities, marketing campaigns, document management, and office administration.

What You Need to Do

Answer and direct incoming telephone calls professionally and efficiently
Welcome and assist visitors to the office
Process incoming and outgoing mail, couriers, faxes, and general inquiries
Monitor and manage shared email inboxes
Post and maintain vacancy advertisements across multiple platforms and company websites
Maintain vacancy tracking spreadsheets and ensure rental rates are updated within required timelines
Coordinate staging, photography, and marketing initiatives for residential and commercial properties
Maintain accounts payable, vendor, and lease filing systems
Assist with residential purchase orders and administrative documentation
Monitor advertising updates and website content changes
Maintain office equipment, supplies, kitchen inventory, and common areas
Provide backup support to the Service Manager and other administrative staff as required
Assist with leasing administration, applications, credit checks, and property management support activities
Prepare correspondence, memos, transmittal letters, and meeting minutes
Support special projects and additional administrative duties as assigned

What You'll Need to Succeed

Post-secondary education is considered an asset
Previous experience in an administrative, office support, reception, or marketing coordination role is preferred
Experience working in a small to medium-sized office environment is an asset
Proficiency with Microsoft Office, including Word, Excel, and Outlook
Familiarity with office equipment such as copiers, scanners, fax machines, telephone systems, and mail equipment
Strong organizational skills with the ability to prioritize multiple tasks effectively
Excellent written, verbal, and interpersonal communication skills
Professional telephone manner and customer service orientation
Strong attention to detail and commitment to accuracy
Ability to work collaboratively in a team-oriented environment while remaining adaptable to changing priorities
