Your New Company
Our client is a highly regarded professional services firm in Toronto with an entrepreneurial, collaborative and people-focused culture. The firm is home to a busy and successful team serving a sophisticated client base and offers a modern working environment with excellent benefits and flexibility.
Due to continued growth, they are seeking an experienced Executive Assistant to provide dedicated support to one of the firm's Managing Partners.
Your New Role
As Executive Assistant to the Managing Partner, you will become the right hand to a highly successful, entrepreneurial and extremely busy senior leader. This is a true career EA position requiring someone who can anticipate needs, manage competing priorities and keep a demanding professional and personal schedule moving seamlessly.
Your responsibilities will include:
- Full ownership of a high-volume and fast-moving inbox, including responding, filing, prioritizing and moving client communications forward
- Complex calendar and meeting management, including proactively scheduling client calls and appointments
- Acting as a key point of contact and helping manage relationships with clients and other stakeholders
- Coordinating travel, flights, reservations and logistics
- Providing administrative support relating to external boards, professional associations and other commitments
- Managing select personal scheduling and administrative matters
- Working closely with the Managing Partner's broader team of associates, articling students and law clerks
- Anticipating priorities and ensuring important matters don't fall through the cracks
- Bringing organization and structure to an exceptionally busy, entrepreneurial practice
What You'll Need to Succeed
This opportunity is best suited to someone who has made a career out of being an Executive Assistant and genuinely enjoys being the trusted right hand to a senior executive.
You will bring:
- Significant previous experience supporting a senior executive, partner or other high-level professional
- Previous experience within professional services, ideally in a law firm or similarly fast-paced environment
- Exceptional inbox, calendar and organizational management skills
- The confidence and judgment to manage communications and relationships on behalf of a senior leader
- A highly proactive approach with the ability to anticipate what needs to happen next
- Strong discretion and judgment when handling sensitive professional and personal matters
- The ability to work independently and take genuine ownership of your executive's day
- A calm, polished and solutions-oriented approach in a demanding environment
Most importantly, you are someone who takes pride in being an exceptional EA and understands that great executive support goes well beyond simply managing a calendar.
What You'll Get In Return
In return, you'll join a dynamic and successful professional services firm where you'll work closely with one of its key leaders and have the opportunity to become an integral part of her practice.
The position offers a salary of approximately $80,000–$90,000, depending on experience, plus a discretionary bonus and an excellent overall benefits package that includes:
- 4 weeks' vacation
- 100% employer-paid benefits
- RRSP program
- $150 quarterly wellness allowance
- Work-from-home allowance for equipment such as monitors
- Hybrid working with only 2 days per week in the office
- Summer hours from June through August, including 1:00 p.m. finishes on Fridays
- Half-day Fridays heading into long weekends
