Your New Company

Our client is an award-winning, Toronto-based architectural practice recognized for its design excellence, collaborative approach, and commitment to thoughtful, sustainable architecture. With a diverse portfolio spanning residential, institutional, and commercial work, the studio has built a strong reputation for delivering high-quality, design-led projects.

As the practice continues to strengthen its market presence and pursue new opportunities, they are looking for an experienced Marketing + Proposals Manager to join their Toronto studio. This is a key position within the marketing team, with significant ownership over proposals and pursuits alongside broader marketing, communications, and business development initiatives.

Your New Role

Reporting to the Director of Marketing + Communications, you will take the lead on the firm's proposal, qualification, pursuit, and interview processes, managing opportunities from initial identification through submission and post-submission follow-up.

A significant portion of your role will focus on proposals and business development. You will work closely with senior leadership and project teams to evaluate new opportunities, review RFPs, RFQs, RFSQs and EOIs, develop pursuit strategies, and establish workback schedules, compliance matrices, and submission plans. You will lead proposal kick-off meetings and coordinate input from internal teams, consultants, and external partners to ensure submissions are compelling, accurate, compliant, and delivered on time.

You will have hands-on responsibility for proposal production, including content development, writing and editing, graphic design, page layout, quality control, and final submission. You will also support interview preparation, presentations, rehearsals, and supporting graphics and visual materials.

Beyond proposals, you will play an important role in the firm's broader marketing and brand strategy. This will include:

  • Developing and maintaining project sheets, resumes, brochures, presentations, templates, and other client-facing materials.
  • Ensuring brand, messaging, and visual consistency across proposals and marketing collateral.
  • Creating graphics, infographics, presentations, and visual storytelling materials.
  • Maintaining proposal trackers, project databases, marketing assets, and content libraries.
  • Tracking pipeline activity, pursuit outcomes, win rates, procurement opportunities, and relevant market activity.
  • Coordinating award submissions and identifying opportunities that support the firm's profile and strategic objectives.
  • Supporting thought leadership, conference materials, communications, and business development messaging.
  • Managing website content, social media, email marketing, CRM systems, and other digital platforms.
  • Monitoring marketing and digital performance and identifying opportunities to improve engagement and effectiveness.

What You Need to Succeed

You will bring 5–8+ years of progressive experience across proposal management, marketing, business development support, or communications. Experience within architecture, engineering, construction, planning, design, or another professional services environment would be strongly preferred.

You should have proven experience leading complex RFP, RFQ, RFSQ, EOI, and qualifications submissions, with a strong understanding of procurement, pursuit planning, and the different stages involved in securing new work.

You will also need:

  • Excellent project management and organizational skills, with the ability to manage multiple pursuits and competing deadlines simultaneously.
  • Strong writing, editing, proofreading, and communication skills, with excellent attention to detail.
  • Advanced proficiency in Adobe Creative Suite, particularly InDesign, with strong graphic design, layout, and visual storytelling capabilities.
  • Experience developing proposals, presentations, marketing collateral, award submissions, and other client-facing materials.
  • Confidence working directly with senior leadership, architects, project teams, consultants, and external partners.
  • An understanding of brand management and the ability to maintain consistency across written and visual materials.
  • Experience with websites, social media, CRM systems, digital marketing platforms, or content databases.
  • The ability to balance strategic thinking with hands-on delivery in a deadline-driven environment.
  • Previous experience mentoring or providing direction to junior marketing staff would be an asset.
  • A degree or diploma in Marketing, Communications, Graphic Design, Business, Journalism, or a related discipline is preferred.

What You Will Get in Return

This is an opportunity to take on a highly visible role within a well-established, design-focused Toronto architecture practice, where you will have genuine ownership over the firm's pursuits and proposals while contributing to its wider marketing and business development strategy.

You will work directly with senior leadership and talented architectural teams, gaining exposure to a diverse portfolio of projects and playing an important part in how the practice positions itself, pursues new work, and communicates its story to the market.

The position is full-time and based in the firm's Toronto studio, making it particularly well suited to someone who enjoys being embedded within a creative, collaborative environment and wants to have a tangible impact on the firm's continued growth.
