Junior Accountant – Finance Operations

About Hellamaid

Hellamaid is a fast-growing Canadian home and commercial cleaning company headquartered in Cambridge, Ontario. We operate across multiple provinces and are building a technology-driven, franchise-focused company with a growing network of locations.

We are looking for a Junior Accountant to join our team and take ownership of the day-to-day finance and accounting operations of the business.

This is an important role. You will work closely with our operations team and management and will also work alongside our external accounting firm, which currently manages our year-end accounting, tax filings and other higher-level accounting matters.

The right person will eventually have the opportunity to grow with the company as our internal finance function expands.

About the Role

As our Junior Accountant, you will be responsible for keeping Hellamaid's day-to-day financial operations accurate, organized and up to date.

This is a hands-on role. We are looking for someone who enjoys working with numbers, systems and details and who can independently manage recurring accounting processes.

Key Responsibilities

Contractor & Employee Payroll

Process weekly payments for our network of cleaning contractors
Review cleaner timesheets and payment information
Process bonuses, tips, adjustments and other payment changes
Calculate and process approved mileage payments
Process employee payroll and maintain payroll records
Coordinate payroll-related information and resolve discrepancies

Accounts Payable

Enter and code vendor invoices
Verify invoices and obtain appropriate approvals
Process vendor payments
Manage recurring expenses and supplier accounts
Maintain accurate AP records

Accounts Receivable & Invoicing

Prepare and issue invoices to commercial clients
Monitor outstanding invoices and assist with collections
Reconcile customer payments
Issue franchise-related invoices, including royalties and applicable fees
Maintain accurate AR aging

Bookkeeping & Reconciliations

Maintain accurate day-to-day bookkeeping in QuickBooks Online
Reconcile bank and credit card accounts
Record and categorize transactions
Review transactions for accuracy and completeness
Assist with month-end close
Prepare basic financial reports and supporting schedules

Multi-Location & Multi-Province Accounting

Track revenue and expenses across multiple Hellamaid locations
Maintain appropriate QuickBooks classes/locations and chart of accounts
Track net sales across different provinces
Ensure sales, refunds, discounts, taxes and adjustments are properly recorded
Assist with HST/GST reconciliation and reporting schedules

Franchise Accounting

Prepare recurring franchise royalty invoices
Invoice franchise fees and other applicable charges
Track franchise receivables
Maintain accurate franchise-related accounting records

Other Finance Operations

Process payments to virtual assistants and other contractors
Maintain organized financial documentation
Assist management with financial reporting and analysis
Work with external accounting firm to provide accurate records and supporting documentation for year-end
Identify errors, inconsistencies and opportunities to improve accounting processes

What We're Looking ForRequired

2+ years of bookkeeping or accounting experience
Experience with QuickBooks Online
Experience with Canadian payroll
Experience with AP and AR
Experience with bank and credit card reconciliations
Strong understanding of bookkeeping fundamentals
Strong Excel/Google Sheets skills
Excellent attention to detail
Ability to manage confidential financial information
Ability to work independently and take ownership of recurring processes

Strongly Preferred

Experience with multi-location businesses
Experience with multiple Canadian provinces
Experience with HST/GST
Experience processing contractor payments
Experience with high-volume payroll or weekly contractor payments
QuickBooks Online Advanced experience
Experience with Wagepoint, ADP, Ceridian, Wagepoint or similar payroll systems
Experience working with an external accounting firm
Experience in a franchise, service, staffing, construction, property management or other multi-location business

CPA designation is not required.

We are more interested in practical accounting experience, attention to detail and the ability to independently manage day-to-day finance operations.

What Success Looks Like

Within your first 90 days, you should be able to independently manage the majority of Hellamaid's recurring finance processes.

You will become the person our operations team can rely on for:

Accurate and timely contractor payments
Accurate employee payroll
Clean AP and AR
Timely commercial invoicing
Accurate franchise royalty invoicing
Up-to-date bookkeeping
Reconciled accounts
Reliable location and provincial sales reporting
Organized records for our external accountants

Most importantly, nothing should fall through the cracks.

Growth Opportunity

Hellamaid is growing quickly, and this role is intended to grow with the company.

Initially, you will work closely with our management team and our external accounting firm. As our internal finance department develops, there will be opportunities to take on additional responsibilities and progress toward roles such as:

Junior Accountant → Accountant → Senior Accountant / Accounting Manager → Controller

A CPA is not required for this position, but there is significant opportunity for professional growth for someone who wants to build a long-term career with a growing company.
