About the Job
We are seeking a confident, professional, and highly organized Front Desk Office Administrator to join our team. In this role, you will be the first point of contact for clients, visitors, vendors, and team members, ensuring every interaction is handled with excellent English communication, warmth, accuracy, and professionalism. You will manage front desk operations, answer and direct calls, greet guests, schedule meetings, maintain office records, and support daily administrative functions. The ideal candidate is well-spoken, dependable, detail-oriented, and comfortable communicating clearly in person, by phone, and by email. Key Responsibilities
- Welcome visitors, clients, vendors, and employees with confidence, professionalism, and a positive front-desk presence.
- Answer, screen, and direct incoming phone calls using clear English communication and excellent telephone etiquette.
- Respond to emails, inquiries, and office communications in a polished, accurate, and professional manner.
- Schedule meetings, coordinate calendars, prepare meeting materials, and support smooth day-to-day office operations.
- Maintain an organized reception area, office supplies, filing systems, and administrative records.
- Prepare, scan, file, and track documents with a high level of accuracy and attention to detail.
- Provide administrative support to management and team members, including preparing correspondence, forms, reports, and meeting notes as required.
- Assist with basic invoice tracking, data entry, and document organization when needed.
- Represent the company with confidence, discretion, and a strong customer-service mindset in all interactions.
- Perform any other administrative duties as assigned.
Knowledge, Abilities and Skills:
- Excellent spoken and written English communication skills, with the ability to speak clearly, write professional emails, and communicate confidently with clients, vendors, and team members.
- Strong front desk and customer service skills, including a professional appearance, positive attitude, and the ability to create a welcoming first impression.
- Highly organized and detail-oriented, with the ability to manage calls, visitors, emails, schedules, documents, and competing priorities in a fast-paced office environment.
- Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, with the ability to prepare documents, update records, and maintain accurate information.
- Confident, dependable, and professional, with strong judgment, discretion, and the ability to represent the company well at the front desk.
Qualifications and Experience
- Diploma or certificate in Office Administration, Business Administration, or a related field is preferred; equivalent experience will also be considered.
- 1–3 years of experience in a receptionist, front desk, office administrator, or administrative assistant role.
- Strong English communication skills, both written and verbal, with confidence speaking to clients, vendors, and internal team members.
- Experience managing phone calls, emails, scheduling, filing, office supplies, and general administrative support.
- Intermediate proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel.
- Previous experience in construction, trades, property management, or a fast-paced office environment is an asset.

Employment Status: Full-time, permanent
Pay: $22.00–$25.00 per hour, based on experience and qualifications
Working environment: Normal office conditions.
