The Role: Operations Coordinator - Service, Projects & Estimating.

This is an inside role with real weight. You are air traffic control for service, project support, and quoting.

You sit between the customer, the service manager, the technicians, and the project team. A call or an email comes in. You turn it into a scheduled job, a clear quote, a clean invoice, and a customer who doesn’t have to chase anyone.

The mix shifts with the season. Some months you are mostly dispatch, follow-up, and keeping the board honest. Other months you are building quotes, supporting project admin, and helping work move from “interested” to “booked.” That flexibility is the job - not a side hustle we forgot to mention.

What You’ll Be Doing

Customer experience: Answer calls and emails with clarity. Set expectations. Keep clients updated. Solve the small problems before they become angry ones.
Scheduling and dispatch: Build and protect the daily board for field technicians. Match the right person to the right job. Adjust when a site runs long, a part is late, or a priority jumps the queue.
Quoting and estimating: Prepare clear, professional quotes for service work and smaller projects. Pull scope from notes, photos, drawings, and technician input. Price labour, materials, travel, and reality - not wishful thinking. Follow up so good quotes don’t die in an inbox.
Project support: Help the project team with the administrative load on larger installs: paperwork, scheduling coordination, documentation, and handoffs so work doesn’t stall between office and field.
Invoicing and closeout: Make sure completed work gets invoiced accurately and promptly. Chase missing notes, photos, and sign-offs so the job is actually finished - not just “mostly done.”
The operating system: Keep records clean. Track job progress. Hold the line on digital documentation. If the field system is messy, everything downstream gets expensive.

This is not three jobs glued together. It is one operations seat that leans with the work:

Heavy service season: more dispatch, customer communication, and service quotes.
Heavy project season: more estimating support, project admin, and coordination.
In between: tighten the process so the next busy stretch is cleaner than the last one.

Experience in a coordinator, dispatch, service admin, estimating support, or similar role - ideally in service, construction, or a trade environment.
Exceptional organization, written communication, and customer service.
Comfort with modern office software (Google Workspace / Microsoft Office) and a willingness to master our field system.
A calm, problem-solving demeanor when the day gets loud.
Clean criminal record check.
