Summary:
The Maintenance Coordinator is responsible for coordinating maintenance administration, parts, purchasing, and inventory activities across assigned locations. This includes managing facility maintenance software, creating and maintaining work orders, issuing purchase orders, matching external invoices, and organizing maintenance documentation. The role oversees parts ordering, inventory levels, stock accuracy, vendor coordination, and parts allocation to appropriate work orders. The Maintenance Coordinator also identifies and processes warranty opportunities and supports outside repair services by issuing and tracking purchase orders for work completed by external vendors.
Responsibilities:
In the position of Maintenance Coordinator, your responsibilities will include but are not limited to:
- Must adhere to Miller Waste Systems safety protocols and be familiar with the Occupational Health & Safety Act.
- Manage, support and assist in training technician staff on the opening and closing of work orders using fleet maintenance software.
- Assist in monitoring and setting up MWS preventative maintenance equipment schedules for existing and new equipment.
- Manage and follow up with 3rd party service and preventative maintenance contracts and agreements.
- Organize and maintain facility equipment maintenance documentation to ensure complete and accurate records.
- Issue purchase orders for each location regarding outsourced services and parts when required.
- Monitor and address issues with Geotab GPS devices on equipment.
- Identify, document, and process eligible warranty claims in accordance with company policy.
- Purchase and source truck parts, supplies, and maintenance services based on fleet and shop requirements.
- Request and compare vendor quotes to ensure competitive pricing and timely delivery.
- Create and process purchase orders, verify accuracy, and charge parts to the appropriate work orders.
- Monitor and maintain inventory through cycle counts, audits, Min/Max levels, and proactive reordering.
- Identify slow-moving or obsolete inventory and recommend adjustments or disposal.
- Maintain proper labeling, organization, and storage in accordance with Corporate Parts Room Standardization guidelines.
- Coordinate vendor returns, core exchanges, warranty claims, and applicable credits, working with the Warranty Administrator as required.
- Ensure purchasing activities comply with company policies, pricing guidelines, and standards.
- Work closely with Fleet Managers, technicians, and shop personnel to support current and upcoming operational needs.
- Complete monthly inventory reporting.
- Perform other duties and special projects as assigned. Maintain a clean, safe, and organized stockroom environment.
Competencies & Qualifications:
- Previous experience in a Maintenance Coordinator/Service Advisor role preferred.
- Strong organizational, planning, and problem-solving skills, with attention to detail.
- Excellent interpersonal and communication skills (written and verbal).
- Ability to work in a fast-paced environment with multiple priorities.
- Strong computer proficiency – Microsoft Office, Outlook, previous Fleet Management System experience preferred.
- Understanding of the Occupational Health & Safety Act and employee responsibilities under it.
- A valid Class 5 Driver’s Licence with a clean driver’s abstract.
- Willingness to work additional hours during peak times, as needed.
