Position Title: Residence Operations Assistant
Status: Full-Time Support
Hours: 35 hours per week – (1:00 PM-9:00 PM, Friday - Tuesday)
Faculty/Department: Student Housing
Campus/Location: Lakeshore Campus (with occasional work at the North Campus based on operational needs)
Payband: E
Salary Range: $30.43 - $35.11
Starting Salary: $30.43
Progression through the payband is in accordance with the increments in the payband as outline in the Full-Time Support Staff Collective Agreement based on actual service in the payband.

With just over 1,750 bed spaces across two campuses and five buildings, our self-operated residence provides a supportive home-away-from-home for students throughout the academic year and summer. We operate 24/7, nearly 365 days a year, ensuring students have access to safe, affordable housing and the support they need to thrive. The December midyear break offers a unique opportunity for our team to take a brief pause, recharging before we welcome students and staff back to our vibrant community for the remainder of the academic year.
Within Residence Services, our dedicated team oversees key portfolios: Residence Admissions, Off Campus Housing, Residence Operations, Front Desk & Summer Operations, and Residence Life. Together, we deliver exceptional service and foster a connected, inclusive, and thriving living environment.
About the Residence Operations Assistant Role:
The Residence Operations Assistant supports the Residence Operations Coordinator in ensuring the cleaning requirements and standards of the residence are achieved by providing functional guidance to student staff and monitoring the performance of the contract cleaners against the contract documents. Maintains communication with the Front Desk Coordinator and the Maintenance Coordinator, as appropriate. The incumbent is required to support the Residence Housekeeper and student staff in completing work assignments as required.
Responsible for assisting in ensuring year round cleanliness of the residence buildings:
Conduct daily inspections, monitor cleaning to ensure standards are maintained and assign tasks, using pre-developed task lists, to the housekeeping team
Assist in student staff hiring and training
Assist in monitoring the performance of cleaning contractor against tender specifications and report any issues to manager
Assist with scheduling staff according to operational needs
Participate in monthly meetings to ensure staff are continuously receiving training on procedures/policies, that issues are addressed, that staff are recognized for successes and that staff have an opportunity to provide feedback
Assist in providing guidance to staff to ensure that housekeeping procedures and processes are current and are being practiced daily
Refer performance concerns regarding housekeeping to the Residence Manager for appropriate follow up
Using and updating residence building management software to ensure timely and accurate service delivery and record of work orders and housekeeping
Perform recycling and waste management services
Perform cleaning duties and utilizing cleaning equipment
Assist in ensuring all housekeeping equipment (vacuums, floor machines, etc) are maintained regularly
Assist in the maintenance of room inventory, contract linen services, and cleaning product suppliers
Physically assisting and guiding housekeeping staff to ensure rooms are cleaned, including providing hotel-style housekeeping services during conference season
Assist in updating housekeeping manuals and task lists
Communicate with the Residence Admissions Coordinator, Front Desk Coordinator and Residence Manager as appropriate
Assists and assumes the responsibilities of the Residence Operations Coordinator in their absence, mainly evenings and weekends:
Reporting all damages as noted during routine inspections
Processing room inspections upon move out and assessing potential charges
Communicating with Residence Life when students are involved in damage issues
Responsible for minor maintenance issues by:
Utilizing the maintenance work order system and shift report to prioritize and complete work orders/reported issues
Updating the maintenance work order system on the status of the work order and communicating with resident/guest as needed
Responsible for assisting in maintaining/troubleshooting the building lock system, including card control, access levels, updating locks and replacing batteries
Responding to pest control issues which includes contacting pest control
Addressing minor plumbing issues – plunging toilets, turning off valves when there is a leak

Education
One (1) Year certificate or equivalent in Facilities Management, Hospitality Management, Property Management, or related field
Experience/Skills
Progressive experience in a housekeeping or maintenance department within a hotel, hospital, or post-secondary institution, including experience coordinating a team, for example, as a team lead.
