Original job description
About us
Industrial Matrix helps manufacturing plants across Canada and the US prevent equipment failures. We supply wireless sensors, install them on site and monitor machine health through our own software platform. We are a small, fast-moving team of about 20 people, and operations is how our customers experience us. Getting the right parts to the right plant on time, installed and documented, is what makes unexpected downtime a thing of the past. Let's build the industry of the future together!
The role
You will own the physical side of the business: the parts we buy, the stock we hold, the kits we build, the shipments we send and the hardware that comes back. You will report to the Head of Finance & Operations and work daily with our accountant, field technicians, customer success team and suppliers. Some of these processes are well established and some still need building, so you will both run them and improve them.
What you'll do
- Purchasing and suppliers. Place purchase orders from our reorder list and demand forecast, chase open orders, manage relationships with key suppliers, and find alternatives when lead times or prices slip.
- Receiving and inventory. Receive stock in Zoho Inventory the same day. Keep the warehouse organized with bins and labels, run cycle counts and quarterly counts, and track demo, test, rental and legacy equipment.
- Kitting and assembly. Build sensor and controller assemblies from bills of materials, label them, and prepare installation kits by sales order.
- Shipping and customs. Pack and ship orders, book carriers (FedEx, UPS, Purolator, LTL), keep tracking and delivery status current, and prepare commercial invoices and HS codes. You will also work with our customs broker on cross border (primarily US) shipments.
- Returns (RMAs). Run the return process end to end: ship replacements, follow up on returned hardware, arrange inspection with engineering, and record the outcome in inventory.
- Installation scheduling. Keep one calendar for our installation team, and arrange their kits, site logistics and travel. Confirm each job is closed out so it can be invoiced.
- Customer compliance and safety. Keep our customer contractor-compliance portals (such as Avetta and ISNetworld) up to date and arrange certificates of insurance. Coordinate health and safety records.
- Office management. Run the day-to-day of our North York office: the landlord and building contacts, office suppliers and contractors, supplies, mail and couriers, visitors, keys and access. Look after the shared inbox and the office's phones and equipment.
- Reporting. Report weekly on on-time shipping, open returns and the installation backlog.
What you bring
- 3+ years of hands-on experience in operations, logistics, warehouse or supply chain, ideally with industrial, electrical, automation or electronics products. Experience gained outside Canada is valued equally.
- Real use of an ERP or inventory system: receiving, transfers, assemblies or BOMs, and counts.
- Experience with import/export paperwork and carriers. Cross-border Canada–US experience is a plus.
- Strong organization and follow-through. You close loops without being chased.
- Clear written and spoken English for suppliers, customers and technicians.
- Comfortable in Excel (lookups, pivots, clean data).
- Able to lift 20 kg and work in a warehouse environment.
- A valid Ontario driver's licence (G2 or higher).
- Ready to work from our North York office every day. This is a fully on-site role.
Nice to have
- Zoho Inventory, Books or Projects
- CARM or customs broker experience
- Scheduling field service crews
- Supplier compliance platforms (Avetta, ISNetworld)
- A supply chain diploma or APICS/ASCM certification
What we offer
- Competitive salary
- Group health benefits after probation
- Paid vacation
- A role with real ownership and a path to grow your role as the company grows
- A supportive team that will teach you our products and systems
How to apply
Send your resume and a few lines about the messiest operations problem you have fixed. Applicants must be legally entitled to work in Canada. Accommodations are available on request at any stage of the hiring process.
