Job Description
Insight Global is seeking a Bilingual Executive Assistant & Site Coordinator. The successful individual will provide high-level executive support while serving as a key point of coordination for the Montreal office. This individual will manage complex scheduling and competing priorities while supporting employee engagement, events, vendors, committees, and broader site initiatives. The ideal candidate is a strong problem solver who can work independently, build relationships across teams, and confidently prioritize the requests and tasks.
Required Skills & Experience
Fully bilingual in French and English, with strong professional speaking, reading, and writing skills. Previous Executive Assistant, senior administrative support, office management or comparable experience in a professional environment. Demonstrated experience managing complex calendars and competing priorities. Exceptional confidentiality, discretion and judgment, particularly when handling executive information. Strong organizational and multitasking skills with the ability to manage several priorities simultaneously. Ability to prioritize independently, make sound judgment calls, and recognize when to say no, redirect a request, or escalate an issue. Strong interpersonal and diplomatic communication skills, with confidence interacting with executives and employees across different business units. Highly proactive and resourceful with a problem-solver mindset. Comfortable figuring things out independently rather than relying on extensive direction. Comfortable working in a highly visible, people-facing role.
Nice to Have Skills & Experience
Previous experience supporting a senior executive or GM-level leader. Experience in hospitality, events, sales or another high-touch client-facing environment where white-glove service and responsiveness were important. Office Manager or Site Coordinator experience supporting a large employee population. Hands-on experience planning and coordinating corporate events, employee engagement initiatives or office-wide programming. Experience managing vendors, event budgets, invoices, expenses, and logistics.
Responsibilities
Manage complex executive scheduling and competing calendar priorities. Handle confidential information with discretion and sound judgment. Coordinate meetings, presentations, reports, expenses, invoices, and administrative activities. Prioritize requests and determine what requires immediate attention. Act as a key point of contact for Montreal office initiatives and activities. Coordinate employee events, engagement activities, vendors, budgets, and logistics. Support health and safety, francization, emergency preparedness, and other site committees. Partner across business units to address site needs and support employee experience. Proactively solve problems and operate independently with minimal direction.
We may use artificial intelligence tools to assist with the screening, assessment, or selection of potential applicants for this position.
Vacancy: This posting is for a currently vacant role, and the successful candidate will be hired into an existing open position.
