Job Description
Insight Global is seeking an Executive Assistant to the President for a leading manufacturing and distribution organization. This individual will serve as a trusted partner to the President, providing high-level administrative support while helping drive operational effectiveness across the business.
The Executive Assistant will play a critical role in managing executive priorities, coordinating communication between departments, tracking key projects and commitments, and ensuring the President remains organized, informed, and focused on strategic initiatives. The ideal candidate is proactive, highly organized, discreet, and comfortable operating in a fast-paced environment that requires collaboration across manufacturing, sales, purchasing, logistics, warehouse operations, finance, suppliers, and customers.
Responsibilities
- Manage the President’s calendar, meetings, travel, communications, and day-to-day priorities to ensure efficient execution of business objectives
- Prepare executive correspondence, presentations, reports, meeting materials, and management summaries to support decision-making
- Act as a liaison between the President and internal departments, tracking projects, action items, deadlines, and key business initiatives
- Gather, consolidate, and maintain operational, financial, and performance information from across the organization for leadership review
- Coordinate communications and meetings with customers, suppliers, business partners, and other external stakeholders while ensuring timely follow-up on critical matters
- Support special projects, company events, trade shows, and executive initiatives while helping drive organizational priorities forward
- Maintain confidential records, documentation, and executive files with a high degree of discretion, professionalism, and accuracy
- Anticipate executive needs, identify potential issues, and proactively resolve administrative and operational challenges before they escalate
This is probably the sweet spot for a posting: concise enough to be readable, but broad enough that candidates understand the role is much more than calendar management.
Success in this Role
- Keeps the President organized, prepared, informed, and focused on business priorities
- Ensures key decisions, commitments, and action items receive timely follow-up and execution
- Improves communication and coordination between executive leadership and department managers
- Delivers accurate, timely, and actionable management information
- Identifies operational issues and risks before they escalate into larger business challenges
- Maintains the highest standards of professionalism, confidentiality, accountability, and service excellence
- Contributes to the overall effectiveness of executive leadership and organizational operations through proactive support and coordination
REQUIRED SKILLS AND EXPERIENCE
- 3–5 years of administrative or executive support experience, preferably supporting senior leadership or executives
- Experience working in a manufacturing, distribution, wholesale, or related business environment is considered an asset
- Strong proficiency with Microsoft Outlook, Word, and Excel; PowerPoint experience is an asset
- Demonstrated ability to manage complex calendars, meetings, travel arrangements, and executive priorities
- Excellent written and verbal communication skills with the ability to interact professionally across all levels of an organization
- Strong organizational, time management, and multitasking abilities in a fast-paced environment
- Proven ability to handle confidential information with discretion and integrity
- Strong attention to detail and ability to maintain accurate records, reports, and documentation
- Ability to work independently, exercise sound judgment, and proactively solve problems
- Strong interpersonal skills and ability to effectively collaborate across departments and with external stakeholders
- Bilingualism in French and English
NICE TO HAVE SKILLS AND EXPERIENCE
- Experience supporting executive leadership within manufacturing, supply chain, distribution, logistics, or operations-focused organizations
- Experience preparing management reports, presentations, dashboards, and business summaries
- Exposure to budget tracking, expense reporting, invoice follow-up, or basic financial administration
- Experience coordinating customer, supplier, and business partner communications on behalf of senior leadership
- Experience supporting special projects, corporate events, trade shows, and executive initiatives
- Post-secondary education in Business Administration, Office Administration, Executive Assistant Studies, or a related field
