We're looking for an energetic, organized and people-focused Workplace & Events Coordinator to help create an exceptional experience for our Edmonton team, clients and visitors. This is a hands-on role that combines front-desk reception, workplace coordination, and event planning. You'll welcome people into our office, coordinate meetings, and vendors, and take ownership of internal team events, client events and company initiatives - from finding the right venue and coordinating catering to managing the details that make the experience memorable.
A Day in the Life:
- Greeting staff and visitors in a professional and courteous manner, and directing to appropriate contact
- Plan and execute engaging internal events, team-building activities, and company initiatives
- Coordinate all logistics for external client events
- Administrative support for various teams in the branch
- Create branch communication including marketing materials for office and client events
- Source, evaluate, and secure optimal venues and meeting spaces for events
- Assist with new hire onboarding – including office organization, equipment setup, building tours, ID badge creation, etc.
- Meeting coordination including booking meeting rooms, catering orders, guest sign-in, hoteling station setups, etc.
- Manage Corporate Services phone and inbox, respond to inquiries, order gift cards, etc.
- Mail / courier processing and distribution
- Maintain tidiness and cleanliness of kitchen and boardrooms throughout the day
- Vendor liaison for all office related maintenance including supplies, HSE items, custodial, etc.
- Order and maintain office and coffee supplies inventory
- Monthly credit card reconciliation and generating expense reports
- Update sales CLM, documentation reviews and filing, other sales coordinator related duties
- Co-chair the HSE Committee, complete internal audits and inspections
What You Bring:
- 2+ years of experience coordinating events, workplace experiences, hospitality, client experiences or similar people-facing programs.
- Demonstrated experience planning and executing events - from initial idea and venue sourcing through logistics and day-of execution.
- Strong knowledge of Edmonton venues, restaurants, caterers and local event suppliers is an asset.
- Excellent interpersonal and communication skills (verbal and written), with a focus on customer service and relationships
- Proficient in Microsoft Office, Teams, and CRM
- Certificate in Business Administration, Accounting Assistant, or equivalent is an asset

Pay Transparency:
The expected compensation for this position is $20-$25 per hour, plus applicable benefits and other eligible incentives.
